Update on the Certification & Retraining (C&R) Revamp: We're Listening!

First of all, thank you for the thoughtful feedback and the many real-world use cases you’ve shared about Certifications & Retraining (C&R). Your insights continue to shape how we’re rethinking this functionality — not just as an incremental update, but as a foundational redesign to make it more reliable, flexible, and aligned with your everyday scenarios.

Over the past months, we’ve carefully reviewed all contributions and grouped them around a few recurring themes. These themes are helping us focus on the most impactful improvements, ensuring that we address the challenges you’ve raised with a long-term, scalable approach.

Keep in mind that this initiative will include progressive releases, meaning that not all functionalities and use cases will be supported right from the start. Our goal is to deliver value step by step, building a solid foundation before expanding into more advanced capabilities.

To bring more clarity in the meantime, we’ve summarized below the most frequent questions and the direction we’re taking for each area.

FAQ

Renewal Process

  • Q: Will the new system be able to automatically archive an expired certification and re-enroll the user to renew it?
  • A: Yes. Admins will be able to define an automatic Re-certification period (for example, 30 days before expiration). When that date comes, the system will automatically renew the certification — archiving the previous record and starting a new enrollment — without requiring any manual action.
  • Q: How does the new system prevent confusion during the renewal process and ensure a user's certification status is updated correctly?
  • A: The new Certification experience is designed to make the renewal process clearer and more intuitive for learners. Each certification will have its own overview page, clearly showing the current status, renewal options, and history. When an automatic re-certification period is configured, learners won’t need to take any manual action — the process will simply happen when it’s time.
  • Q: How does the new system improve the management of recurring or annual training, especially when we want to avoid manual user renewals?
  • A: The new automation fully supports recurring or annual certifications, removing the need for manual renewals. This prevents learners from renewing too early or losing progress, while ensuring they’re automatically re-assigned on schedule (for example, one year after completion).

Notifications

  • Q: Will the new revamp improve the notification system for expiring or expired certifications?
  • A: Improving the notification experience is definitely part of the plan. Some enhancements will be available from the first release, while others will evolve throughout the initiative as we refine the way notifications work specifically for Certifications. Our goal is to make communication around expiration and renewal clearer and more consistent over time.

Migration & Dual Run

  • Q: What will happen to our "old" (legacy) certifications? Will there be a migration?
  • A: The new system will initially launch in a dual-run mode, meaning both the legacy and new certification systems will coexist for a period of time. Admins will decide when to start using the new one. This approach ensures a smooth transition and gives you full control over adoption.
    At a later stage, we also plan to make a migration method available, so that existing certifications can be transitioned to the new model when the time is right for each organization.

Reporting & Data Visibility

  • Q: Will there be dedicated reports for the new certifications?
  • A: From the first release, admins will be able to access and analyze data related to the new certifications to maintain proper visibility.
    Additional improvements to reporting will come in future iterations, in collaboration with our Analytics team, to expand available metrics and insights over time.

Power User Permissions

  • Q: Will it be possible for Power Users (PUs) to create and manage these new certifications?
  • A: Supporting Power Users is part of our vision for the new Certifications. We’re currently defining the scope and timing of these capabilities, ensuring that permissions and access models align with the new system’s architecture. More details will follow as the design evolves.

Hi Giacomo and Nicolò, this sounds really promising :) Thank you  for the information - can you please provide ETA’s for the staggered releases? We heavily use Certifications & retraining and it will be important to plan ahead for our own testing and changes from legacy to new experience.

We really need this to be released. This could help us reducing the amount of superadmins who are set like that since they need to manage certification.
