Happy Thursday .

Does anyone have a list of the regular maintenance items that need to be carried out on the LMS on a daily / weekly / monthly basis together with an estimate of how much resource time each item will take, the RACI and risk if not completed please?

That mostly depends on how you have set things up in your particular instance.

e.g. if you’re using custom domains, you’ll have a certificate that will need updating periodically.

Many thanks @Maz, we have your basic set up right now with no custom domains. I’ve got basic things like checking links work, that course certificates are downloading, CSS, access the platform on all devices etc.  Just wondered if there was a checklist or standard out there.  

 

@KaterinaT oh to have a sandbox 😶, do I sound like a poor cousin?

There are no REQUIRED maintenance tasks from the Docebo side of things. That’s the beauty of a good LMS. But any training organization is going to have to regularly review and update content as your organization changes, regardless of whether you have an LMS. For example, we have had several changes in company branding that required rework of content in the LMS. 

On a monthly basis, you want your admins to stay abreast of updates to the platform. 

Depending on how you provision your users, you may have to review requests to join the platform. Or you may have users you need to inactivate because they have left the organization.

A couple times a month you should check on your usage stats to make sure you are not going over your monthly allotted amount.

When you add a new course, there are several things you should check: 

  1. Should the new course be added to any existing notifications? 
  2. Should it be added to any learning plans? 
  3. What certificate template should be attached to the course?
  4. What catalog should the course appear in? 
  5. What power users will need access to this course? 

Etc.

Lots of great stuff here already. Much of it depends on your setup. Some of the things we do.

  1. Update Power User provisioning - we run lots of groups, periodically you need to make these groups visible for the Power Users, if they need them. Plus any additional training location (such as in-market training) that was added.
  2. User audit - export and review user provisioning to identify issues.
  3. Power users without a profile. I periodically go into power users area and filter on power users without a profile. Sometimes users get provisioned with Power user level but no profile.
  4. Periodic course review - update or archive
  5. Monthly report and group review - if the report or group is no longer needed, get rid of it.
  6. Weekly we dump a full course report, and user report with all of their provisioning and store them as a backup.

That is all that comes to mind at the moment.
