Hey guys,

 

We’re starting to run more of our sessions through our platform. We have one team who are running sessions regularly so we have created them an ILT course and then they can add sessions to the course. We’ve enrolled everyone onto the course so that every time a new session is created they all get a notification to say there is a new session on the way, however, the New ILT session notification goes out straight away before you’ve even had a chance to specify the event details.

What’s the work around here? We dont want to enrol everyone as these sessions are optional, so we want people to enrol themselves, but at the moment they’re getting a “new session” email without us having a chance to upload the actual event for them to enrol on.

Any help appreciated!

yea, it’s like the “Session details have changed” email that goes out each time you click SAVE CHANGES...lots of SPAM as an admin needs to hit SAVE many times during the set-up of a session and event.

Think you’d need to post an idea to get Docebo to look at this..the trigger needs to be delayed or only triggered once a session is fully baked…

have you echoed whether the users actually visit the course right away or do they usually check in the next day or in a few hours? Maybe you can adjust your admin process to use the CSV import to create sessions and events (it’s not fully complete but does contain the main details list date, time, registration type, etc.).

Not sure if you deactivate the notif while you are creating and then activating it soon after you’re done whether those e-mails would be cued up (probably not but may be worth a test).

My current work around is to turn the notification off, create the session, turn it back on and then duplicate the session, then immediately delete the first one I made. Managable (if a pain) for now as we are only running occasional events, but the idea is to get all of our internal training meetings done through Docebo so that will be a very big annoyance.
