I’ve been searching for a more recent question/discussion/idea about VILT notifications, but the most current I could find is from a year ago. We have recently gone live with Docebo (end of May) so we’re still getting used to the platform. We only just started using it for ILT sessions - specifically, VILT sessions. We’d really like to use Teams, but our IT team is struggling getting Docebo’s help fixing the issues with Teams (it’s been set up but isn’t working). So right now we’re depending on Zoom. Zoom works great, except that our company’s Zoom account requires a passcode for all meetings. There is no way to communicate this passcode in the email notifications. There isn’t even a way to communicate that it’s a virtual session! How do we get around this? If we have to start sending a manual email to participants for every VILT, it’s going to become cumbersome very quickly.

 

The notifications don’t have any shortcodes at all for event details, which is extremely frustrating. The session location also doesn’t make sense because it doesn’t pull the event information. So we were sending out the user enrolled in ILT session notification not realizing that the asession_location] shortcode doesn’t actually do anything.

 

What’s the status of the fixes to the shortcodes? When can we expect the shortcodes to reflect the functionality of the system? Seems like the shortcodes are pretty outdated. Also, the documentation doesn’t really explain much about the notifications or what one can expect to see from each shortcode. Would be helpful to have a shortcode glossary that actually explains what info each shortcode will provide - it’s not always intuitive.

Hi @mkempenich - We added a session additional drop-down field (VILT/In-person/Both), so once the learner accesses the ILT session they would know what session type they are enrolled into. Unfortunately, we use what is available and just direct learners to view their sessions from the course link in ‘User enrolled in ILT session’ notification, not ideal but our learners have gotten used to it.


As @jlreonal said, we’re just using the course link in the notification we email out, and learners are getting to their VILTs from that.  We send out one notification when they’re enrolled, and then another shortly before the VILT starts.  It’s not a great workflow though since that course link takes them to the COURSE page, but it requires some looking on that page, and another click, to find the SESSION, and a join button to enter the session.  But at least they’d have the course description there, and presumably you could include the Zoom code or any other necessary login info in the course description.

We have gotten Teams to work nicely for our VILTs, and people both inside and outside our organization are able to log in.  But beware that some kind of token or other software wizardry expires periodically, so our IT team has to shake hands and bow properly to Microsoft every 6 months or so, or else the integration breaks down without warning.
