Was testing the new Tests dataset and very anxious to see the data...sadly when I tested with an archived enrolment, I do not see any data. Are the archived enrolments included in the dataset? We were told that Insights would include all active and archived enrolments...I do not see any filters for that either...Is this coming at a later time?

Not hacking the ability to see archived test data will again restrict the use of enrolment archiving until this fixed…

Hoping this can be resolved soon.

Hello @lrnlab

Thank you for reaching out! I wanted to ask, when you archive a course, do you also reset the tracking of the training materials?

Yes of course...it’s the only way to get the user to be able to retake the same course. We especially use this for ILT courses but in this case I was hoping to see test data. When archiving course enrolments that contain tests and surveys, we have no idea where this data goes and have no access to it...this severely restricts the use of archiving...Throughout the Insights project I was told that archived data would be part of all datasets so my expectation was that it would NOT be tied to resetting the enrolments...If we cannot see archived data regardless of whether the user was reset or not, this will be a big gap. Hoping you have a solution for us...

@federico.carugati Happy new year…

Do we have any updates regarding archived data?

Seems most oil what Docebo is launching these days omits access to archived data thus creating larger and larger gaps in the data.

Examples:

  • Insights - we were told that archived data would be available - it is not
  • My Transcript Page - archived data not included
  • My Activities PDF output - only includes active enrolments
  • Admin reports with archived data do not include Additional Field data

Plus all these gaps…(and likely more since this was posted)

While I understand this not only an issue with Insights, it’s been years of waiting and promises that we would get access to the data and still nothing… Do you know if any plans to focus on this very important gap in the LMS in 2025? It is desperately needed.

Hello,

Apologies for the delay in my comment on this post.

All the Insights dashboards track, where required, the archived enrollments, including the one for tests. However, the condition that must be met is that the tracking related to the enrollment being archived should NOT be deleted.

In the specific case of tests, there is an inconsistency because the need to force the user to retake the test leads the administrator to reset the tracking and lose all traces of the archive.

I will report this inconsistency regarding the archiving functionality, along with the other issues mentioned here, internally, with the aim of improving the archiving functionality itself and, consequently, improving the information displayed on the Insights dashboards.

Thank you.

Sorry, do you mean that they should not be RESET instead of DELETED? If yes, the whole point of wanting to archive is to archive the previous completed course and reset it so the user can complete once again. We need to be able to see BOTH records; active and archived enrolments (whether reset or now). Hope this helps to clarify. Thank you.

Yes, here’s how it works today:

When you decide to archive an enrollment for a course that contains a test, you have two options:

1 - Delete the tracking
2 - Keep the tracking

If you choose option #1, it’s as if the previous enrollment never existed (no time spent by the learner, no test done).

If you choose option #2, the tracking of the previous enrollment remains (time spent, test done).

If you don’t want to lose any past activity, option #2 would seem to be the most appropriate. However, the issue here is that by keeping the indication of the test being completed, this also affects the user experience. When they enroll again, the system will show that the test has already been done.

This is the reason why you are forced to select #1.

@federico.carugati right, I understand that. It completely counterintuitive to the way we expect archiving to work. Why would I archive if I loose all the date when I reset instead of just duplicating a course? Not using the “reset tracking” is not an option for us. That is the entire point to us using archiving. Hopefully you can find a solution to this. Sadly archiving having been launched for over 2 years has had zero attention or improvements and it severely limits how we can use it. Today, we have to pull a bunch of reports before we archive since all the data is lost...not a good experience at all. Was hopeful with Insights but it;’s no better than we already have.

(my apologies for the directness in this post but we have been trying to to push Docebo to fix archiving for years now)
