As the title suggests, I’d love to hear how you’d build this out…

 

We have some technical training that we’re leading through ILT sessions at various offices across the United States. The instructors are SMEs who want to stay at arm’s length from our LMS (which I’m not entirely mad about). 

We are managing session enrollment using the LMS, but our practice has always been to email PDF copies of slide decks and other references to participants post-session. In a pinch, that process works but people lose emails and our email retention policy is only 365 days from send date. To that end, I thought it would be great to “host” the PDF items within the course as training materials. This way, participants could access from within the completed course shell.

 

To that end, I’ve got a few requirements for hosting the items within the course shell…

  1. We don’t want learners accessing the materials until they’ve attended the session. 
  2. We want to avoid having the ILT in one course shell and the materials in another, nor do we want course completion of the ILT to be governed by the learner opening each of the PDF files. The files are for “just in time” reference -- some may not need them for weeks, while others may never need them.
  3. The first of the ILT sessions happened a few weeks ago, so if I proceed with this idea, I want to do so “quietly” without alerting learners who have already attended the course.

 

How would you go about this?

You can add training materials into your ILT course shell and associate them with session events rather than individual sessions, ensuring access only once learners are enrolled.
As such you avoid setting prerequisites for opening these files while still maintaining control over their visibility through the File Repository settings....it would help in having a "just in time" reference i.e without alerting previously enrolled participants about new content

Also you can add all supplementary material including slide decks and other references post-session to the original ILT course through the File widget, allowing control over visibility and access.
By configuring permissions in the LMS, you could ensure that learners have controlled access after attending their respective sessions without having to alert them of changes made.
