Power User and Course Visibility

Hi Everyone,

 

I am hoping for a little more insight on this one. I have a couple of Power Users that are assigned to the same profile. Both have the same branch path and Resource assignment: All courses and Learning plans applied. One of the users created a course and the second one cannot see it in course management. 

 

Do we also have to add the course to a catalog even though both PU’s have the All Courses and Learning Plans resource assignment? I didn’t think that I would need to since we did not choose the All courses and learning plans in visible catalogs resource option. Most of what I have been reading within the community mentions adding the courses to a catalog.

We created a ‘dump’ catalog to ensure that whomever needs to see the courses/LPs can for the PUs to put their courses in to share with all other PUs. We have different iterations of these catalogs because we have PUs that are separated by branches.

We can not have our PUs set to “All courses and learning plans” because we have to secure between branches so we use the “All courses and learning plans in visible catalogues”...but if the PUs need to share the things they created, then they put those items in the ‘dump’ catalog. Which we only use for sharing - it’s not displayed on any pages...does this make sense?

Hi Hannah,

There is currently a bug we are experiencing where power users with visibility to “All courses and Learning Plans” are not able to see new courses.  Some can’t even see any of the courses that were created this week.  Maybe this is the case for your platform as well?

I have a ticket in with support and they are investigating but they have advised they had reports of other customers experiencing this as well.

In my experience there is usually a slight delay (hour or so maybe) when creating courses for power users to be able to see it which I typically remedy by proxying in as them and viewing course management but is not currently working due to this bug.

Might be worth submitting a ticket for them to investigate if you are experiencing this bug as well!

Agree with ​@lindsayp think this is bug. We had a very similar situation and here’s how I resolved it.

  • PU 1 created course
  • PU 2 cannot see course even if both have same access and permissions
  • Enrolled PU 2 in the course
  • Logged in a PU2 and lunched the course (checking to see if they have access to “manage options”
  • Seems when I launched the course as the PU2, it seems to fix the visibility issue.

I will open a ticket as well so it can be tracked.

Chiming in on the two responses above; this seems to be an issue on Docebo’s end. On our platform we are having an issue with Learning Plans being visible. I have two PUs who are assigned the same PU profile and resources (courses and LPs in visible catalogs), one can see the LPs, the other cannot. A support person let me know a fix would be deployed by 3/26/25, possibly sooner.

Hi all, I’m floating this thread up again as we are having the same problem. This is 8 months old but has any progress been made to this? We have a team that is unable to see and share courses that one person creates until they are manually jostled like has been described above (re-assigned the resource or enrolled). But this is a manual, cumbersome process to do every time a new course is created in the category.

Important distinction: we have groups assigned to specific categories rather than catalogs, but the functionality is exactly as described above.

I’d have to go back to the ticket to see if it was resolved but am thinking it may not have been if admin are still seeing this issue. Seems to be related to how power users are granted access to recourses where there is some kind of time delay, even after the PU logs in. Similar to an issue we saw with group ownership transfer to a PU where a user will NOT be added to group until the power user (who was granted ownership of that group) logs; and then it can take upwards of an hour or more for that user to be added to the group. I have challenged support on this to say it can create issues if the PU is away for period of time but they never came back to me a solution unfortunately.

 

I wonder if it works better using catalogues instead of “all courses and LPs”. 

I tend to use that option more so than the “all courses...” as it gives you more control but remains dynamic. I create a catalogue called “Staging” and everything that any PU creates (course and LPs) go into that catalogue. That might be the better workaround until we get some feedback from Docebo.
