Group enrollment not working after Import!

Since this morning  the automatic group assignment doesn’t work when we import users (SSO and manual creation works). Even after an hour, the users are not added to the groups.

When we after import edit the user manually (without changing anything), the user is added to the group!

Does anybody else have the same issue?

Docebo notified us that they will roll out a fix on 11th of October 😉

Possible Causes of the Issue:

Incorrect User Attribute Mapping: The issue might be related to incorrectly mapped user attributes. Ensure that user attributes are correctly set up for automatic group assignment.

Conditional Rule Configuration: Review the group settings in your Docebo platform to confirm that they are correctly configured. Double-check the rules and conditions that have been established for automatic group to identify any potential errors or conflicts and make sure there are no logical errors with "AND" or "OR" operators.

Testing with Sample Users: Import a small set of test users with various profiles and conditions to determine if the issue consistently persists. This step can help isolate whether the problem is specific to certain users or a more widespread issue.

Audit Log file: Examine the logs or error messages in Docebo to identify specific error messages or warnings that may be associated with the import process. This can provide valuable insights into the nature of the issue.

Workaround:

Bulk Manual Editing: If editing users manually after import successfully triggers automatic group assignment, consider performing a bulk edit of the imported users as a temporary workaround until the underlying issue is resolved.

@rrattan, many thanks for your reply but we work daily with CSV files and we know what we are doing. We tested the issue intensively and everything is correct.

I have had this issue for 4 days. Our issue centers around the “Remove deactivated users”.   When this is checked for us - it prevents users from entering the group. Unchecking this will put them in the group correctly - but that is not what we want.

The help desk fixed one group for us - but alas I have found other groups doing the same thing.

The same issue but within reports. Groups and reports were built yesterday afternoon but this morning the reports are not being populated.

Yesterday, I created a group, manually added a handful of people, could see the people in the group but when I went to enroll them into a few courses, the system kept telling me there were no users in the group so it gave me an error that it couldn’t enroll them, even though there were absolutely users in the group; It was the weirdest, most frustrating thing.

I cleared my cache, reloaded, etc...none of that worked. I took a break and 30 minutes later, it started working just fine...there was no rhyme or reason to it.

I don’t know how many noticed that Docebo had service interruption for about an hour yesterday, in multiple regions. This might be a possible cause for issues that are being experienced. I’m still finding portions of our LMS not functioning properly.

Send a Support ticket in with issues so Docebo knows :-)

Yup, just created the same test case…

  1. Created the condition by which the user shoudl have been automatically added to the group
  2. User was not added to the group
  3. Manually edited the user and they magically appeared in the group

Definitely a BIG issue here...will log an urgent ticket now and suggest you all do if you are having this issue

https://status.docebo.com/

My IT Dept gave me this link. It’s Docebo’s System Status Page in case anyone doesn’t have this.

@LDAlexPM3  sadly this page does not always reflect real time issues we are experiencing…

right now it shows green across the board when clearly things are not all functional.

Hi @lrnlab Wondering if you received an update on your Support ticket.  I logged my own but am not getting any traction.  Is your Group function still lagging/erroring or were they able to provide a fix?

latest update: Seems this issue has been resolved (partially)…

When support performed a test case I provided, it all worked as expected. However it appears that the users who completed course during the outage period yesterday still have not been captured in the groups. Using the manual workaround (editing the profile) does get them into the group.

Am waiting on support to know whether there is some kind of backlog or other issue preventing those records from being properly processed by the groups.

Unfortunately we have too many users, and too many groups to find them all even we wanted to try and fix them manually…

Will update with more information as I get it.

ran into this bug today

created a group, added users to it via CSV, waited until group had the 62 members, and  then tried to enroll users but “0 users”

created a 2nd group, added users manually - then when i’m on a course and trying to enroll via group… “0 users”

ended up manually adding 62 people to a course enrollment, while on a zoom call , multi-tasking

##

groups i had setup previously seem to work for enrollment

maybe it takes “1 day” (overnight?) for the group to showup and work for enrollments…  will check Friday

@Ben Bauman it should be in real time so if you’re not seeing the groups populates as they should you may want to log a ticket with support.

@Ben Bauman  Did you try what we call a “hard refresh” to populate your group and assign courses? We came up with a process which I’ve documented here:

https://community.docebo.com/docebo-learn-onboarding-32/has-anyone-else-had-difficulty-with-groups-being-assigned-by-automatic-rules-but-courses-not-being-assigned-8301?tid=8301&fid=32

It may not be the same thing, but I thought I’d contribute this. It tends to work for us.
