We heard and we did! Officially ready for testing in your sandbox, you can now export users in either CSV or XLS format. You can also include the following branch details in the exported file:

  • Branch ID
  • Branch Code
  • Branch Code Path
  • Branch Name
  • Branch Name Path

When setting up your export, you will now notice a new Select Branch Fields option when configuring your file.

We have made three updates to the automatic creation of groups. While there may not be a lot to say about this functionality, in this case, a picture is worth more than a hundred votes :ballot_box:.  

 

Automatically add users to groups based on language or email address

Easily create groups based on language or email addresses by selecting user field based conditions when automatically creating groups.

 

Email: You can now automatically assign users to the group depending on whether their email address contains a keyword. Keep your @coke.com and @pepsi.com customers separated!  

Language: Automatically assign users to the group depending on their selected language in the My Profile area. Remember that if users do not select a language, the platform will automatically assign them the platform default language set in the Localization Tool.

Import users to groups via CSV (Updated!  Sorry, it is available to PUs!)

We want to help you save time (so you can get in as much learning as possible!) and one way that might help is the ability to create groups using a CSV file.  As a Superadmin, you can associate users to either a manual or an automatic group using CSV files however functionality is limited to maual groups for our Powerusers. 

 

When creating both automatic and manual group creation, you will notice a new CSV option at the top right of the Group Properties page.

Prevent deactivated users from being added to groups by automatic rules

When creating groups using automatic conditions, you can now automatically remove deactivated users. Less time spent administering, means more time for strategizing🤞🏻 !

Heads up! You may not see this one in your sandbox yet but…it’s coming soon. If you don’t see it now, it will be live in next week’s maintenance release.

 

This has nothing to do with actual cookies, but how could I resist. We all deserve cookies! 

 

You may notice that there is a new cookie banner asking users to accept the cookie policy. Why the change?  Docebo platforms are adopting the enhanced cookie policy management, which enhances our compliance and aligns with applicable regulations affecting cookies, such as the European ePrivacy directive

 

In addition to this, you’ll be able to optionally integrate with the OneTrust Cookie Consent solution, delegating the cookie policy management to OneTrust. This allows you the flexibility to uncover and highlight specific cookies, brand your cookie banner and measure consent rates.

LOVE the What’s in your Sandbox post! This is the most exciting release yet. I am VERY excited about the ability to create a group via CSV.

:shrug_tone1: However, why is this only available to superadmins?! This is technically still a manual group and something our power users would need to use more than superadmins. 

The branches info is very helpful to include when exporting users from the users page. Since the New Reports Users Report is not real-time data, I have to use the Users page to verify users in a group. 

:oncoming_police_car: I received a 404 error for CSV template when trying to create a group via CSV. 

Just last night, I was literally trying to figure out if there are any benefits to leaving deactivated users in a group...I came up with nothing. 

:bulb: If only we could include the same info from the users-export page under the users tab within a group. This is is absolutely necessary to verify the group is pulling in the correct users based on the logic.

I have a question, although it may be because I’m very new to using our recently acquired sandbox. My course management options look different in the Sandbox - does that mean it’s an impending change ?

@Stephen.Barton Yessir! We push changes first to sandbox for some time (so you can play/get familiar), then we push to production. For the course advanced settings specifically (your screenshot), these should hit production end of Jan.

@Jessica Overby I was able touch base with the Product Manager @nicolo malinverno and we did indeed make the csv import to group capability available to Power Users :)  Keep in mind though that Power Users can only manage manual groups, not automatic ones (but this is the same as its always been)

Hi Jon, 

You should be able to create a group via the new CSV option and then select the group when assigning users to a learning plan. Therefore, you can use this to enroll learners into a learning plans via CSV. However, you cannot un-enroll learners from a learning plan via CSV. Hoping to see that next!

:oncoming_police_car: Does this release include changes to the Course Management>properties area, or is that the February sandbox release? While creating process documents for our support team using Sandbox, we noticed the Properties area in Catalog Management is completely different.

While this is very exciting, this will have a huge impact on our organization. Not only is the look and feel different, but there are new options, new tabs, and things have been re-organized. This will require us to re-train our 100+ admins on this new interface and update all of our documentation before the changes take place.

Will these changes go into effect during the February release?

@Jessica Overby The course advanced properties update is hitting production in Jan.  We are updating the experience to align with other parts of the admin. The impact is purely on the user interface.

On Add Branch Info to User Exporting Feature:

  • This needs to be also available in Analytics (New Reports)
  • The limitation on how many user can be selected for Export via the User Management tool/page needs to be expanded.

On Improvements to Group Creation:

  • We need to be able to use automatic groups as an assignment basis for users to Power User Profiles.

Hi Hawley. To be honest, this is alarming. We have not been informed of this change until just now. After further exploration, it is not only a UI change. Fields have been recategorized, new tabs have been added, and a few new fields have been added as well. This will change all of our documentation and processes. It will also require us to re-train our 100+ admins on how to create a course. While I am excited about the changes, this will cause a fire drill at my company. I am wondering if this will impact other companies in an equally dramatic way? 

Here is how Docebo can help us in the future:

  • Provide full release documentation at the beginning of the Sandbox launch (6 weeks out).
  • Provide training courses at the beginning of the Sandbox launch (6 weeks out). 
  • For extremely impactful changes, start announcing them 3-6 months in advance. 
  • Provide customers with a roadmap.

I can’t imagine how difficult these last minute notices must be for companies that need to create QA test scripts and validate the system before each release. Sorry to be difficult, but I think these suggestions could dramatically enhance the customer experience.

Hi Hawley,

Thank you for the information! I did discover that the change was mentioned in the December Sandbox post. However, all that was mentioned was “Plus - Updates to Course Advanced Settings coming December 15th in the weekly update.” I think I was a little confused on the What’s in your Sandbox post thinking that it was referring to the Jan release.

One last question. To make sure I am better prepared in the future, when can we expect for the Knowledge Articles to be available once changes are added to Sandbox for the upcoming release? From my experience, they are available randomly during the month of the release. Is that true?

I feel like I have been gone for too long and I have only been quieter for a week (lol).

I wrote a “how to” for creating groups by adding a static user field and to upload that flag on that field via CSV via user management. It is an old 101 trick in Learning Management. 

I am so happy to see that step go away….less steps are better for business starting February. :athletic_shoe::athletic_shoe::athletic_shoe::athletic_shoe:

Really impressive the drop of deactivated users from groups as an OPTION. That will make working on learning campaigns one step easier (serious thank you there). A question though - is this a choice at the group as we configure it? Or is this a global option? It is a little hard to tell. I hope it is a choice at the “object” level.

On the OPTIONAL adoption...an opinion - this approach is key to keeping “us” happy...as some of the harder stuff you are working on? Can be a serious shift in philosophy and/or business. Groups can be a finicky subject that so many systems aim to get right? But they land up getting wrong. We want to build sophisticated groups…the tool is getting better at it (thank you)….but we need to do that with the right option at the object level and not always at a global level.

Hi, just an update to my unanswered question from 10 days ago. 

My free-text Course Additional Field which we use to add keywords takes ages to load in the Sandbox since this change. I also cannot search for its contents in global search. This is not what currently happens in Production - do I need to be concerned ?

The latency on the course additional field you reference appears to be related to a task in progress where wysiwyg editors within the new Course Advanced Settings are showing latency. This is being worked by the team and will be solved prior to production. For the behavior you reference with global search, my suspicion is that this is due to configuration differences between your sandbox and production environments, as global search takes into consideration catalog visibility and surfaces different content to users based on catalogs/channels they have access to or the items they are enrolled into. It could also be something related to indexing on your sandbox that perhaps needs an index refresh. We have not intentionally changed the behavior of global search as it related to course fields with this update so in any case, it would be our suggestion to contact our support team to investigate what the underlying cause is, whether it be config differences, indexing, a bug, or something else :)
