Merging Accounts for a Rehire Employee

I have an employee that left the company several years back that was just re-hired. Is it possible to combine their expired account with the new active account.

If the two accounts have activity that now need to be in one account, yes, you can merge the two accounts with one being the soure and one being the destination.

Good news — Docebo has a built-in Merge User Profiles feature that handles exactly this scenario.

You have two options depending on how things were set up:

Option A — If the new account hasn't been created yet: Simply reactivate the original deactivated account. All their historical data (completions, scores, certifications) is preserved when a user is deactivated, so reactivating brings everything back. Update their profile details as needed. This is the cleanest path.

Option B — If a new account already exists alongside the old one: Use the merge feature under Admin menu > E-learning > Users to open the User management page. Select the old (expired) account as the source and the new active account as the destination. Docebo will move enrollments, badges, points, coins, and certificates to the destination profile. Where both accounts share the same course, the highest score / most completed status wins.

A few things to watch for — I've run into these across organizations I've worked with on rehire scenarios:

  • Archived enrollments don't transfer during a merge, only active ones. Note any archived courses beforehand if they matter for compliance.
  • Learning Plans don't carry over automatically. If the old account was enrolled in an LP, you'll need to re-enroll the destination user after the merge.
  • The source profile isn't automatically deactivated after the merge — you'll need to do that manually.
  • Superadmins and Power Users can't be merged — only regular user accounts. If the old account had elevated permissions, you'd need to temporarily adjust the user level.

If this is a recurring pattern (rehires are common in your org), it's worth looking at how your HRIS sync or user import handles username matching — Docebo checks uniqueness against the username, so matching on that field can prevent duplicates from being created in the first place.
