Learning Plan Not Updating Certificate

Hi there :)

Hope everyone is keeping well.

Looking some advice/guidance if possible.  We have a refresher learning plan set-up on our LMS and staff have to complete the 15 courses within the Learning Plan yearly. 

All courses are set to mandatory and each is set-up in the, “Certifications and Retraining” section with the, “Allow users to retake the same course or learning plan to renew their certification. Every user's prior tracking will be reset as soon as the certification is renewed” selected.

We use a CSS code on our course pages so the only thing they can select is the, “Renew Certification” button.  Issue we are having is that despite staff completing the courses and the system recognizing they have completed them it sometimes won’t update the certificate attached to the Learning Plan.  Over the past 2 months when we download the cert, it shows the 2025 date for example and not the 2026 date.  We have to go in-to the Learning Plan and, “Recalculate Enrollment” and re-set the cert to get the 2026 date.  Strangely, this doesn’t happen all the time, when I tried it via my profile, it updates my cert OK with the new date but other staff’s it doesn’t update so not quite sure why this is happening and how to fix it.

I don’t know if the easiest/quickest fix is just have a new Learning Plan set-up every year but that’s also a bit of a admin hassle and not something we really wanted, nor do I know if that would update the cert correctly either - would we have to set up a new cert template each time?

Would anyone have any other ideas/suggestions?

Thanks ​@Winnie Cairney for this. Very useful guide, however, we are currently doing this so I suppose my point/question is that why isn’t the certificate updating automatically when they re-complete the learning plan (Which our staff have to do on a yearly basis)

You definitely don't need to take on the admin hassle of duplicating the Learning Plan every year! There is a structural fix for this.

The reason your certificate date is getting stuck on 2025 is because the Certification is attached to the individual courses. When a user clicks "Renew," the system archives those specific course enrollments, but it doesn't automatically archive the parent Learning Plan's enrollment. That’s why you have to manually force a Recalculate Enrollment to get the new date.

The Solution: To create a clean, uniform annual process, you need to assign the Certification to the Learning Plan itself, rather than the 15 individual courses.

When the Certification is tied to the LP, clicking "Renew" triggers an Archive Enrollment for the entire Learning Plan. This gives the user a completely fresh slate. Once they complete the courses again, the LP triggers a brand-new completion event and automatically generates a freshly dated 2026 certificate—zero manual intervention required.

In organizations I've worked with that manage heavy annual compliance requirements, shifting the renewal trigger to the LP level is the exact pattern we use to eliminate this kind of admin overhead.

@andrew-CH if you do go ahead and make those changes as suggested above, please make sure to test as there were some issues with with the certificate updates when renewing a certification. If for some reason, the certificate still doesn't update, or in some cases, changes the previously issued certificate(s) for the same LP/course to the most recent date, I would suggest you contact support for assistance.
