Reports

Hello,

What is everyone doing to overcome the hideous reporting in the LMS? From what I can tell, we have no control over the appearance or emails that are generated using scheduled reports. They are embarrassing to send to customers.

How have other admins overcome this? Any automated solutions?

Thanks

The reports are raw data, I would never send raw data to a business partner, manager, customer, or user. What reports are you trying to send to customers?

You asked how we overcome this, we use a variety of methods based on the situation:

  1. Reports and Analytics staff who format reports (pivot tables, slicers, filters, etc.) before sending to stakeholders.
  2. Feed BI Dashboard for consumption.
  3. Send reports to Excel savvy stakeholders only.

I am holding out hope that we will get something more feasible from the new Learn Insights when it is ready for general availability.

Great points all around, @dianex.gomez, you’ve covered most of the options well at a high level.  😁

For Insights, yesss, stay tuned!

There is more to come very soon that you’ll hear from our Product Marketing and Education Teams. From what I’ve seen internally, the additions are truly reflective of the needs we have heard for quite a while. Addressing requirements for both Admin and Executive-level reporting in-platform (the visually appealing reports and dashboards).

Not to spill the beans, but if you’ve seen the beta/trial you’ll have an even clearer picture of what I mean. Helping admin teams avoid going through a full implementation of a data pipeline out of Docebo, paired with an external BI tool. It can be a lot to manage for some when the end reporting requirements may be less complex and the team to manage resource constrained.

The problems arise when you have lots of external power users who need reports relating to their own employees. The methods outlined by @dianex.gomez are not scalable when you have a dozen reports that need distributing to 300+ power users. There is also no robust way to make exported reports available to them.

The analytics dashboards currently in beta will be OK for high-level views of activity, but they do not provide the detailed, line-by-line data needed for, eg, compliance monitoring.

I concur with @Alan. As extended enterprise, we get requests weekly from external customers asking for reports on what their org has completed to check in on employee training or to see if they’re getting value out of the training subscription they’re paying for. My team has to do a scrubbing of the excel file every time to ensure it’s the proper data that the customer should be seeing (not completions of our employees or partners that might have been attached to their org account while working with the customer.)

A concern we have, as the only reports we use the system to generate is a non-complete for those who directly report to the individual that manages their training, is the delivery as a .zip file.

Those come with a lot of hesitation, and most cyber related security training tag those as some of the most dangerous. The emails are not easily formatted to not look suspicious.

We have tried to influence the use of the My Team dashboards, but many of our power users are simply used to the excel style report. Even then, you can do no pre-formatting of the report. They can print and post hard copies to communicate to non-computer users at their facilities.

Get the email > click a link > new tab opens and the .zip file downloads > open the .zip file > open the file > format and filter per preference.

Its clunky at the least.

I create various reports in Docebo that are automated to send to our analytics team who has built out a couple of Power BI dashboards at my request with the needed filters to clean up the data. These dashboards also sync to our HRIS, because sadly, we are unable to connect the HRIS to Docebo at this time.

I see what you’re saying and am looking forward to enhancements but working with our analytics team and having these Power BI dashboards has been meeting our needs.

I agree, I submitted this suggestion a couple of years ago. It would be great to be able to create dashboard view reports and more visually appealing for the content owners. I recommend you collaborate with the technology team in your company to have POWER BI reports built. Good luck!

This is what @John was talking about on the horizon with Learn Insights. It does have filtering for drilldown/up as well as full table access for external analytics.

@chadrobb4 one more automation that didn’t come up yet is to export reports to an SFTP site for external consumption. You can schedule the reports and export them with the Automation App on a cadence.

Thank you for all the great responses. We are going to explore BI and bots as a solution.

Luckily we don’t have many power users, and zero customer PU’s. These reports are just embarrassing to share with anyone really. In 2024 this really shouldn’t be an issue with any software provider.  Thanks again.
