Hi everyone,

I’m after some advice on how to configure a series of ILT webinars with recordings with a few complexities to the configuration.

In Oct I will have close to a 1000 people attend a webinar on a specified date, picking the appropriate one for their area out of 8 to pick from. The enrol, attend the session which will be using Zoom through the LMS. If they missed it and were enrolled they can watch back the recording later.

I also need people that didn’t enrol in their area webinar session to be able to watch the recording back and receive the same completed status as attending. My understanding is that it is not possible for someone that did not enrol in the session to watch a recording uploaded back into the place of the “Join Webinar” after the webinar has been held. Kind of makes sense.

At this stage I have a ILT  course with 8 zoom webinar sessions for different areas configured. I will save the recordings of those sessions and upload them to the respective spots for each session for those that missed it BUT were enrolled. I was thinking of creating another course with all the recordings in it for those that didn’t enrol in the webinars and cannot watching them back, but I cannot see a way to make the video for their session an equivalent to the webinar and therefore make the reporting more complex.

I have this for another two series of webinars also with lots of people so I want to make it easy for people to understand what to do, and for the reporting to be not too complex. Last year I had a Learning Plan for each area and a course for the webinars, and a course for the recordings which worked, but I had to make 8 of them! x 3 times which was messy.

Appreciate any advice on approaching this problem this year.

Hi @jckemv if I understand you correctly, you are looking to create an equivalency between the webinar course and another, new course you will build that will contain the recorded session(s)? If so you can use the Equivalencies option under the Advanced Settings...this will allow you to provide automatic credit for the webinar course once someone watches the recorded session(s) in the new course.

I had used equivalences once before and appreciate the suggestion. It does require the configuration of the courses to be either very generic and the equivalence could be related to watching anyone's recorded session, or, I have to create a whole bunch of different courses so people pick the correct one.

In the end it is very messy and only stems from the problem where last year amongst the 1000s that attended the briefings I ran for the 8 Regions, many people didn’t enrol so they couldn’t watch back the briefing once the session had been and gone as enrolments had locked off by the LMS (no configurable I believe). This forced me to provide another avenue for people to see the recordings, effectively uploading them in two places which I didn’t like. If I could fix that I’m all good and no need for extra course with recordings!
