This might be a job for the Automations App, but I wanted to ask here for advice!

We are looking for a means of assigning courses to users on the day they are to begin working. We use an onboarding platform to filter user info into our LMS, so when someone completes their onboarding paperwork their name, job title, hire date, etc all filters into the LMS via an hourly sync.

However based on the group and enrollment rule options available we can’t quite assign courses to someone on their hire date. Instead they are assigned the courses as soon as they filter into the LMS. Someone could filter into the system two days early, or even two months early, so this makes assigning due dates rather inpractacle. So even if someone does not start working until April 3rd, if they’re in the LMS before that they’ll get their day 1 courses.

Does anyone have any advice on assigning courses on a users hire date regardless of when their user profile is creating in the LMS?

 

HI, using groups and enrol rules is the closest way to get the courses assigned. Docebo does not have a function to schedule assigned courses and when using groups + rules, the logic is quite simple; you are either part of the group or not and if you are, you get assigned. Although the groups can help you carve out a date window, the criteria options are limited to “on or before” or “on or after” which wont work as you would like.

You say that your users are provisioned from another source...would it be possible to build some logic not hat end that would keep a profile “inactive” until their hire date comes to pass? The you could the option in the group to remove inactive users and they would not get assigned until their profile was active. Might be something you can test.

That’s an idea we haven’t heard before, so I’ll discuss that internally to see if maybe we could set something like that up! I feel like they do something similar to that with re-hires, as they don’t filter into the LMS until the day of. So I’ll keep my fingers crossed that we can try something similar with new hires!

If it’s an option it should suit the groups and e. rules I already have set up since I always turn on the ‘remove inactive users’ when configuring groups.
