Tracking training events without specific participants?

Our safety department would like to keep records of the dates and locations of fire drills on Docebo. Since we don’t have a specific lists of participants for the building fire drills, I’m not sure how best to track this in the system. We could list the fire drills as ILTs and bulk enroll anyone that works in a given building, but that may not accurately represent who was physically there for the drills. We could create the ILTs, but not enroll anyone, but then it makes it seem like no one participated, which isn’t accurate either.

I was thinking we might use the “observation checklist” function to track dates/locations of fire drills, but I’m not sure how best to set that up in the system. Any additional advice about how this type of staff training without individual records can be recorded/reported through Docebo would be much appreciated. Thanks!

So this is a logistic problem - not necessarily a system challenge.

Lets start with - you could use an ILT, a course, an external training to support their attendance of an event.

Another few questions

  • does everyone have to attend a Fire Drill?
  • is everyone already in Docebo?
  • are you worried about this as an ongoing process or is this a one-off event?

I can dream up a few ways to skin it. But I think logistically you will need to know who is at what location first to even have a chance. Without that? If you allow people to enter their own information? You are going to run into a risk for data issues - something I would not want to put on anyone’s shoulders.

In theory - and if I am thinking about it correctly everyone that attends a fire drill can be sent a QR code to mark themselves as attending an ILT. You could put everyone into the ILT. I think if you wanted to?

A second option is that you could get people to enroll themselves and also select a custom field with a list of locations to support sharing back with you that data.

(NOTE - that custom field is where risk begins - humans can get lazy with data entry).

As Dan points out, there are a lot of approaches here - I think the question I have that am not clear on is, what is the purpose of recording these events in the system? What data will be looked for when it is asked?
