Can I have an automatic Welcome email sent out to New users who have not logged in for the 1st time yet?

Hello all.  I am a bit familiar with Notifications, but my question is about sending a “Welcome & Quick Start Guide” email to new users letting them know how they can log in for the first time and some quick user tips for them.

Currently we are using tags in Keap. So I add a new user in Keap, tag them so the Quick Start Guide/Welcome email goes out, and also put them in Docebo and enroll them in courses.  I would love to be able to eliminate the double entry and just register the new user straight into Docebo.  However, I still need to have the Quick Start Guide/Welcome email go to them so they know how to log in and navigate through the platform.

I am not sure if they have to have already logged in to Docebo first before getting an email notification. Or does anyone else have any other ideas how I can execute this and save me entering a new user into 2 different platforms?

I think you are creating a critical path that can work in lots of different ways. If you are looking to enforce their review of the video, you can go further and use the course as a pre-req for other courses. Lots of ways of “skinning the cat” once they authenticate.

You may also want to send an automatic note…the one that the person has not logged in yet….to give feedback and nudge them into starting what they need to do.

Yes! There is an email you can send when you generate a user - no login necessary. It is great for sending credentials, guides, etc. I believe it is a branch level email (new user is created).

You can use the “user has been created (by administrator)” notification and insert what you prefer in the notification body. This notification is generally used as a welcome email and should match your goal.

As written in the article, please remember to enable the following flag in “Admin Menu-user management” when you create a user 

 

If you prefer, you can also enable this option by default by going into “Admin menu-Advanced settings-advanced” and mark the following options:

Thanks Roberto! That helps a lot. I am still a fairly new user, so the picture really helps.

My follow up question is, can I attach or upload a video to the welcome notification?

A question. Can you store the video anywhere else to have it play? Like on a company streaming channel so that you can use a url from there? The one challenge is attachments may means you are considering storing on a Docebo server. And that is where you will find it to be an issue.

if you can’t go the one route. Could you use something like YouTube or Vimeo to satisfy your needs?

Yes, we can store it in YouTube and use the URL.  Thanks for the suggestion.  We did find a work around though, I think.  We will send the new user notification email, and then create a course that they have to complete before starting…. that course will be the How To Tutorial.  Hoping this will work.
