Issue with Notification for Observation Checklist as Training Material

Hi everyone,

I’m encountering an issue with the Observation Checklist when used as a training material within a course.

Here’s how I’ve set it up:

  • My course contains two training materials: one HTML training material and one Observation Checklist.

  • The Observer assigned to the checklist is the Direct Manager, while the Approver is the HR Manager of the learner.

  • The goal is for managers to be notified when they need to complete the checklist.

According to the Docebo Knowledge Base, a notification should be triggered when the learner clicks on the checklist within the course. However, even when this step is completed, no email is sent, even though all notification settings appear to be properly configured.

I also tested using the Schedule functionality (not as a training material but as a standalone checklist), and in that case, the notifications were sent correctly upon course completion.
However, this method doesn’t meet my need — I want the checklist to be a training material because I need the course to be marked as completed only when the checklist is completed. This doesn’t happen when using the Schedule functionality.

So my question is: what am I missing that prevents the notification from being triggered when the checklist is used as a training material?

Can't say if this is a gap or intentional but my guess would be because it is acting as a leaning object and there are no specific notifications tied to learning objects, they do not go out. Have you reached out to support to ask? I’ve only ever used it where the user is self-observing so it remove the need to have any notifications.

That's interesting — according to the Knowledge Base, it should be possible to notify the Observer when the checklist is used as a training material. Here's what it states:

"The checklist training material is assigned to one or more observers (the users responsible for completing it) only when the learner accesses the checklist within the course or clicks on the checklist entry in the course syllabus. This means that if the checklist is set to be completed by another user (such as a manager), the learner must either click on the checklist item in the syllabus or access the checklist in the course player to notify that user that the checklist is ready to be completed."

This clearly suggests that a notification can be triggered for the Observer when the learner clicks on the checklist — even when it’s set as a training material.

I’ve just contacted Docebo Support to investigate further on this.

@Cynthia we may not like it but it kind of makes sense since it would not need to notify the user when they are the observer but if someone else, it would need to know when to send the notification so when the users clicks it, it then triggers.
