We want to ask additional questions when a learner requests to be enrolled in a learning plan or course, such as how long you have been using our platform and if your manager is aware you are taking this. Does anyone have something like this set up?

You can create what are called, Enrolment Additional Fields, under Course Management however they only apply to courses, not Learning plans. You can configure the field to be visible to users and required so that when they SELF-ENROL into a course, they will be asked to ill in the field before completion the enrolment process. Note that this can be done by the admin as well depending on your enrolment processes. I havent tested with LP enrolments so this. would be a good test case (the KB article says it will not prompt the user to filk in the field ☹️; it bypasses the field since enrolling users in LP’s also enrols them in each course.

General rules on enrollment additional fields

  • When users self-enroll in courses using either enrollment codes or enrollment links, they will not be required to fill in the mandatory additional fields.
  • Enrollment additional fields are not prompted when:
  • Dropdown enrollment additional fields require the internal ID of the value you insert in the element list, not the value itself. The ID can be fetched via API. Further information about Docebo API.
  • It is not recommended to enroll users in multiple e-learning or Instructor-Led Training (ILT) courses belonging to categories assigned to different mandatory enrollment additional fields, as this may affect the enrollment processing. This applies both to massive enrollments executed from the Course management area and when using the Manage seats menu.

@peggye Chiming in on what the others have said to also offer that I haven’t found a great way to export/report on the data users add to these additional fields.

We wanted to use them to capture dietary restrictions or hotel needs for internal training. We ended up just going a route where the user submits those via a form that we send through a custom notification sent at the time of enrollment.

 

For your use case, I wonder if it would be feasible to make the first course in the learning plan a survey where the user answers the questions you’re looking to collect data on?


@shanejacques the additional fields are included in your standard reports. We have the same field set-up and you can add it in the Users - Courses report
