We only have internal users, meaning, that all learners are either current employees or contractors, and we are assigning mandatory compliance training upon hire, monthly, and annually. During the assignment windows, we’ve had users who have left our organization and therefore did not complete the course(s) by the deadline. I am looking for guidance on the best way to handle their enrollments and in a way that shows that they were enrolled but did not complete it because they left AND that can exclude their course completion progress from the course reporting/statistics.
Currently, when the user leaves, we “archive” their enrollment in any courses that they haven’t completed yet and then deactivate their user account. I just created a custom course field and plan to start adding notes about when they left so it’s captured in the user’s course history.
Is there anything else that is recommended that we do for this scenario? I’ve read that some people will “expire” the user in addition to deactivating them and will add the date that they left as the expiration date. What’s the pros and cons of doing this?
