Proper Way to Handle Enrollments/Assignments for Users Who Leave During the Assignment Window

Hello, Docebo Community! 

We only have internal users, meaning, that all learners are either current employees or contractors, and we are assigning mandatory compliance training upon hire, monthly, and annually. During the assignment windows, we’ve had users who have left our organization and therefore did not complete the course(s) by the deadline. I am looking for guidance on the best way to handle their enrollments and in a way that shows that they were enrolled but did not complete it because they left AND that can exclude their course completion progress from the course reporting/statistics. 

Currently, when the user leaves, we “archive” their enrollment in any courses that they haven’t completed yet and then deactivate their user account. I just created a custom course field and plan to start adding notes about when they left so it’s captured in the user’s course history. 

Is there anything else that is recommended that we do for this scenario? I’ve read that some people will “expire” the user in addition to deactivating them and will add the date that they left as the expiration date. What’s the pros and cons of doing this?

No recommend way from Docebo but you could use the “Suspended” status on the courses that lock out the user, keeps them enrolled, and not used automatically by Docebo so it can stay “clean” if you build a process around using that status...Would be so nice if were could create our own course statuses.

Thank you for the information, ​@lrnlab. How is the “suspended” status reflected in the course statistics/reporting? And if the user’s enrollment in a course is already archived, is there a way to update the course enrollment status from enrolled to suspended? 

And are there any disadvantages of leaving the enrollment status as Enrolled when the enrollment is archived for the users who are no longer with our organization?

And if the user’s enrollment in a course is already archived, is there a way to update the course enrollment status from enrolled to suspended?  No you cannot edit archived records

And are there any disadvantages of leaving the enrollment status as Enrolled when the enrollment is archived for the users who are no longer with our organization? Not really but you won’t be able to distinguish the records of those that have left your company vs any other archived records with the same status.
