In this release, you’ll find the following product updates:

We are excited to bring you this latest product update release and hope you are too! Read on to find about the new features in learning plans and the AI Control panel, as well as Content, Connect, and Learn Data.

Learn LMS

Learning Plans porting

All of the Learning Plan updates coming to you in this release cycle are made possible by the migration to a new and improved architecture in the background services of the Learn platform. Now that the architecture is in place, all of the learning plans will need to be moved (or ported) to this new area. The good news is that this is all happening in the background and there is no action or changes to the Administrator or Learner experience. Just know that Learning Plan functionality has a new more powerful and robust engine .

Additional fields for Learning Plans

We’ve heard that you really enjoy custom additional fields on your courses and now you can have them on your learning plans too! With this enhancement you will be able to create additional fields to better organize and manage all your learning plans with information that is relevant to your organization’s processes and nomenclature.

Enhanced completion rules for Learning Plans

Have you always wanted a learning plan with optional content? With this new feature you can designate courses inside your learning plan as “required” or “optional”. This gives you the flexibility to decide which content counts towards the completion criteria of your plan, putting you in control of your learning journey.

Automatic Skill Assignment

Not that long ago, really just in February, we released the AI Control Panel with configuration panels for Auto Tagging and the Recommendation Engine. In this release, you will now also see the configuration panel for Automatic Skill Assignment, which automatically  assigns skills to published courses and/or assets based on the skills platform catalog.

New course player - Playlist support

We're bringing back the playlist feature to the new course player layout! Now you can create your own custom list of must-watch items, just like on YouTube. Easily navigate through your saved content while in the course player and enjoy a seamless learning experience!

Question Category dropdown menu improvement

Say goodbye to endless scrolling through hundreds of question categories. With our latest feature, Administrators can now easily associate question categories to test questions hassle-free. Simply search, sort, and select your desired category making organizing questions a breeze!

New Customer Experience "Contact Us" button added to the Help Center

Introducing our latest addition to the Help Center in the platform: the brand-new "Contact CSMs" button!  Now, reaching out to your Customer Success Managers via email is just a click away. Plus, we've revamped the descriptions of "Chat" and "Help Desk" to provide you with clearer and more comprehensive guidance.

NOTE: In a few rare cases, this button will not appear. For example, if you are evaluating Docebo as part of a trial or you purchase Docebo through a 3rd party, button availability may vary.

Swahili and Hindi language support

Docebo now supports Swahili and Hindi in the Learn platform as well as Go.Learn and the Mobile Branded App. This update provides a more inclusive learning experience for your global workforce. Superadmins can activate these languages through the Localization tool.

Security / DPA / Privacy - Security Information Contacts in LMS Advanced Settings

By integrating extra designated contact fields into the platform, we enhance communication and ensure adherence to legal standards, particularly in Europe. These additional fields link to our internal security contact system, empowering our teams to notify you swiftly. This enables prompt and effective responses, bolstering our collective data protection endeavors.

OpenID Connect - UserInfo endpoint

We're enhancing our login architecture to meet the specific needs of some customers and making it available to all our customers! This feature enables seamless integration with Webex through the OpenID Connect protocol, ensuring users can be provisioned in Docebo using their emails as usernames. With this adaptation, we're not only meeting security requirements but also unlocking the potential for a smoother login experience for everyone.

Single Background Jobs List

We now have a single dashboard that shows all the background jobs on your platform. From there, you can filter jobs and easily check their progress and, if needed, perform actions such as  fast-track or interrupt a job.

Docebo for Microsoft Teams: Enhanced Custom Content Box

With the Docebo for Microsoft Teams app, you can now create a more attractive, consistent, engaging and mobile-friendly Microsoft Teams dashboard. Enhancements to the Custom Content Box provide a more responsive experience that allow you to maintain aspect ratios when resizing images and adds hyperlink functionality to the image, providing a customizable and seamless way to redirect learners to other relevant content from their Teams Dashboard.

Admin view where there is now the option for the image aspect ratio and the URL destination.

Learner view with updated content box containing the URL button.

Content

Content in Docebo Usage Dashboard

As of May 8th, Superadmins are able to view the number of monthly active users for Docebo Content in the Usage Dashboard. Superadmins will also receive an email notification when monthly active users reach 90% and 100% of your plan’s capacity.

The Docebo Usage Dashboard will replace your existing method of checking usage directly in Docebo Content, with access to the existing Usage tab being removed on May 27th. Users are encouraged to capture relevant information from this tab prior to the 27th, as historical data will not be transferred to the Docebo Usage Dashboard.

Learn Data

Data Mart

A new addition to Learn Data, Data Mart gives you the aggregated data you need to get to even faster data analysis and business decision-making. It's a way of structuring the data that aggregates it according to a certain topic. With Data Mart, you have a consistent and structured view of your data related to different topics which facilitates data analysis and business decision-making processes. You now have Data Marts for Course Enrollments and Completions, Certifications, ILT, and Learning Plans.

Connect

Enhanced Accredible & Credly recipes to support certifications

Do you use the Accredible or Credly digital credentialing platform to add value to your learning or as part of your broader employee recognition efforts? If so, you may benefit from our Accredible or Credly connectors to streamline and automate your credentialing process and make it simple to connect your badging and credentialing to learner completions in Docebo. With the latest release, we’re enhancing the functionality of these connectors to automate the creation and sharing of digital credentials, not only based on completions of courses and learning plans, but also now with the completion of certifications in Docebo. Now, when one of these connectors is configured, in addition to automatically achieving badges in Accredible or Credly when completing associated courses or learning plans (captured as “External Training” in Docebo), learners can automatically achieve credentials in Accredible or Credly when completing their certifications in Docebo. These can be viewed and accessed in a new column called “External Certification” within My Activities, in the Certification tab.

Learner view of new External Certification column that links to digital credential

Connecting with Docebo makes it even easier to leverage one of these great digital credentialing platforms to incentivize and recognize people for completing learning and certifications and for them to showcase and share their success and achievements with others.

Connect recipe update for Outlook Calendar Connector

We’re making some important updates to our Connect example recipes for the Outlook Calendar Connector.

This release includes RSVP, synchronization and webhook optimizations. These updates are important because they will:

  • Provide a resolution to the 200 limit on Outlook events!
  • Reduce synchronization errors
  • Improve overall performance and performance in bulk operations by reducing Connect tasks, webhook events and time consumed

How to proceed:

While we are making this update and improvement available with our May release, you are not required to update your recipes. If you would like to adopt this update, please be aware that any recipe customizations you’ve made will need to be re-applied

If you’ve made customizations to your Outlook recipes and you haven’t updated Connect recipes before or feel unsure of how to proceed, we would be happy to support you. Please contact your Account Manager or your Customer Success Manager for further guidance.

If you’ve made updates to your recipes before and are comfortable to proceed, please go to this Community Post and follow the additional instructions provided there.

Hindi language supported by the desktop platform

Starting from this release, the Hindi language has been added to the languages available in the desktop platform, bringing the total to 53 languages supported. Hindi is now included in the list of all the languages the platform offers in the Localization Tool, and your learners can now set it as the language of their platform from the My Profile area.

Auto skill assignment

For those using skills, the new auto skill assignment feature enables AI to automatically assign skills to your formal and informal content, saving you time and effort while helping learners find the best content to develop their skills. You can manage this feature in the artificial intelligence configuration panel.

Navigate playlists from courses with the new course page

If you have activated the new course page, when courses are included in playlists, you can navigate and manage the playlist directly from the course header, when accessed from the My channel page, or from any channel the playlist is visible.

More streamlined background jobs management

A single dashboard shows all the background jobs on your platform. From there you can easily check their progress or perform actions such as fast-tracking or interrupting a job. Filters let you easily focus on the jobs of interest to you. Learn more.

Enhanced test question category selection

When creating questions in tests and associating them to categories, the category selection is now carried out from a dedicated right panel including a search engine.

Contacts for data processing and security information

The Advanced Settings > Email Preferences section has two new fields: Security emails, for receiving messages relating to security incidents, and DPA emails,  for receiving messages relating to the data processing agreement. These must both be filled in for compliance purposes.

Customer experience contact button added to help center

From the help center panel, administrators can now also contact the customer experience representative to request product demos, professional services, or training.

Three new webhooks available for the Certification category

For those using Webhooks, three new webhook events are available for use in the Certification category:

  • Certification awarded
  • Certification revoked
  • Certification updated

These webhooks are intended for use with external certification providers and are designed to be used in conjunction with Docebo Connect.

UserInfo Endpoint in OpenID Connect

For those using OpenID Connect, the UserInfo endpoint is now supported.

Docebo Connect

For those using Docebo Connect for Microsoft Outlook 365 Calendar recipes, this integration now supports the possibility of grouping payloads when configuring the webhook.

Docebo Connect

Accredible and Credly integrations now support external certifications

For those using Docebo Connect for Accredible or Docebo Connect for Credly integrations, external certification support has been added allowing the external certification to be accessed in the My Activities as well as the Certifications and retraining app.

⚠️ Heads Up for webhooks in sandboxes for regions eu-west-1, eu-central-1, ap-southeast-2 and ca-central-1

For those using webhooks in sandboxes in regions eu-west-1, eu-central-1, ap-southeast-2 and ca-central-1, please note that on June 5, 2024, an architectural change may briefly cause webhook events to be delivered at a rate of two payloads per second while a migration takes place. This is due to old queues from the previous environment sending their events while the new environments have already been activated and begin to send their events. This eventuality should affect only customers with large webhook queues and the normal rate of delivery will be restored as soon as the old queue has been cleared. Please note that this will not result in double deliveries, just a brief increase in traffic.

With the learning plans getting a facelift, will we ever be able to upload users into a learning plan via a CSV upload sheet?

The recent update to the learning plans has unfortunately removed the description from the landing page. Although the updated UI is very much appreciated, this change now requires users to click into each learning plan to access the description. It is worth noting that we had recently taken the time to add completion times to our descriptions- (~200 LPs), which allowed for more efficient planning and better utilization of resources. I think it would be beneficial to add a column option for displaying the description on the landing page, ensuring that users have immediate access to relevant information without the need for additional clicks.

With the new Learning Plans update, how can we now search users within the learning plan and update their enrollment validity or status? There’s no longer a search bar for each plan. Thank you!

It’s great we can create additional fields. But how we can create widgets for learning plan and make the additional fields available to users.

Did the updates include a “soft deadline” for validity date at the learning plan level?

From what I can see, you can search for users and edit enrolments in the “Enrolment tab” within the Learning Plan.

For further development, it would be nice to get the same preview button into the Learning Plan menu as the Course Management has to easily take a quick look how the settings look!

Maybe I'm having a moment, but how do we populate the additional fields for a LP?

Alan wrote:

@Alan When you open the LP menu, the Additional Fields are the second “tab” at the top of the menu page on left side.

Hi @Olli-Pekka Haataja
That tab allows you to define what the additional fields are.  However, I can’t figure out how to use them for LPs. Eg, say I have a text field called “Author”. How do I go about entering the Author details for each LP?

This is the action I used to take, but now, no search bar appears for me here - only the columns with user info.

I second what @Alan says as I’m missing the “additional fields” tab under the individual learning plans where I would normally enter those details as well.

2nd question… I’m noticing that my learning plans have a catalog visibility setting to “Show the learning plan in internal and external catalogs”.  How do I switch those to “Show only in internal catalogs”?  I don’t want external customers seeing internal training.

This might be a silly question, but where can we see a full list of the automatic skills in the skills catalog?  My team would like to start consistently tagging courses and are trying to figure out all of the options.  These will later be used to build Discover, Coach, and Share Skills Channels.

For learning plans, are enrollment additional fields coming in the future with CSV file upload options?  We use that to mark past completions for content completions being imported from other systems prior to the LMS launching.

@Alan If you go into the additional fields tab in learning plans, you might see it having transferred over your course additional fields there.  You now have the ability to right click on the triple dots to open those up and edit them.  You can select “add to learning plan” as an option.  You can also create learning plan specific additional fields and/or create fields for both.  Once you have either created a new additional field for a learning plan or edited a course field to add in learning plan, the missing tab to add those details at the learning plan level opens up.  Hope that helps.

Hi @JHill1
Thanks a lot for pointing me in the right direction!  Everything is now clear. And now I know how it works, I think the approach Docebo has taken is even better.

I too would like an answer to the question about internal and external catalogs. I do not want my learning plans visible in external catalogs, but do want them visible in internal catalogs. So… how do I achieve that?

@Maz

According to the help desk team, unchecking the box in the catalog visibility settings will show the learning plan only in internal catalogs.  I haven’t tested and validated their answer as of yet.  I would love for it be more clear cut in the future like what we experience in the course visibility section.

@Jay.Kolbenson With the new Learning Plan update, are prerequisite settings within a Learning Plan still applied to that course anywhere else it exists in the system? That was my understanding of how prerequisites worked, meaning if we set prereqs, we really shouldn’t make the courses with prereqs available elsewhere.

Is that the case?
