How Are You Notifying Users When New Courses Are Added to a Learning Plan?

Hi everyone! 👋

I’m hoping to get some ideas from this group about how you’re handling notifications for newly added courses.

I’m part of my organization’s training team, and we’re running into a limitation with Docebo notifications. Whenever we add a new course to an existing Learning Plan, all enrolled users receive the standard notification, but it only includes the name of the Learning Plan, not the specific new course that was added.

Docebo Support confirmed there’s currently no way to include the new course URL in that automatic notification, which makes it hard for learners to know what’s actually new or to navigate directly to it.

For those of you managing Learning Plans:

  • How are you informing your users when new courses are added?
  • Have you built any creative workarounds inside or outside Docebo?

Hi Monica,

Editing Learning Plans is tricky and can depend on your settings - do people get automatically enrolled in the Courses when they are enrolled in the Learning Plan, or do they get to choose which courses in the Learning Plan they enroll in. 

We don’t typically encourage adding new courses to Learning Plans because we found that it enrolls anyone who was ever enrolled in that Learning Plan in the new course. This would include Inactive users. Since we have many courses that are fee-based/e-commerce, this was causing problems for us because we have to do a bill back model for our internal associates and we bill based on the enrollment, not based on launch or completion. So we were billing for courses that terminated users got enrolled in. 

For us, we found it better to create a new Learning Plan and update any enrollment rules with the new Learning Plan and transfer enrollments. This is very administrative heavy. If your courses are all free, this may be easier for you. 

For notifications, when we find that we can’t use the default notifications, we have Connect, and we’re able to send other notifications based on API’s and/or Webhooks that get sent from Workato. It’s not ideal but we are going to be adding an Outlook Connection sometime this year. So if you have Connect, this might work for you.
