Reaching out to the community here, as we are feeling pretty defeated.
The core problem is that Docebo’s Power User model is largely static and manually maintained, while our use case requires reusable profiles, dynamic branch scoping, profile-based automation, and MCP support.
Our structure includes:
- Three branches: Internal employees, Partners, and Customers
- Different admin levels within each branch
- Reporting-only leaders who need Insights access
- Admins who need to manage users, groups, courses, learning plans, or enrollments
- Customer and partner managers who should be restricted to their own group or branch
Our main challenges are:
- Assigning a Power User profile does not automatically assign all required user, course, and learning-plan resources.
- Only one Power User profile can be assigned to a user, so we cannot easily combine permissions for people with multiple responsibilities.
- Power User profiles cannot be used as criteria for dynamic groups, which prevents us from automating profile-based enrollments.
- Insights access requires multiple separate steps: Power User status, profile assignment, resource visibility, and dashboard sharing.
- Power User administration is not currently supported through MCP, limiting our ability to automate these workflows.
How do other organizations manage this?
- Do you create profiles by branch, by job function, or by permission level?
- How do you automate assigning user and course resources to Power Users?
- How do you handle users who need access across multiple branches or have multiple admin responsibilities?
- Have you implemented API, Docebo Connect, or another workaround for dynamic resource assignment?
- How do you automate group membership and enrollments based on Power User access?
- How do you ensure leaders consistently receive the correct Insights dashboards without manual sharing?
- What governance or audit process do you use to prevent cross-branch data exposure
We would especially appreciate real-world permission models, automation examples, or recommended architecture patterns for managing Power Users at scale.
