Certifications & Retraining – Issues with Re‑Enrollments for Annual Compliance

Hi everyone, We’re looking for guidance (or confirmation) on whether others are experiencing the same challenges with Certifications & Retraining for annual compliance courses.

We manage several compliance courses that must be completed annually. These are set up using Certifications & Retraining, but we’re running into several issues that make the process confusing for learners and difficult for administrators:

  • The “Certifications to Renew” widget shows items long before they are actually due. It displays “renew in X days,” which most learners overlook because it doesn’t feel like an immediate action.

  • Learners are not automatically re‑enrolled when their certificate is approaching expiry, even though this is standard functionality in many LMS platforms.

  • Learners do not appear as overdue when a certificate has expired.

  • Reporting is unreliable  it’s difficult to clearly identify who is overdue vs. who has an expired certification.

  • Rolling compliance cycles are not supported well. Our team members complete compliance training on a rolling basis, not all at the same time each year. Ideally, retraining should trigger automatically based on the learner’s last completion date, without requiring them to click “Renew” or manually locate the course.

  • Notifications don’t solve the problem. We send learners a reminder two weeks before their certification expires, but when they log in, the course does not appear in their “to complete” training. They must navigate to the “Renew Certificate” area themselves. We want to avoid this extra step and instead have the system automatically re‑enroll them X days before expiry so the course appears in their active training list.

From what I can see, this topic has been raised multiple times over the years, but it doesn’t appear that a solution has been implemented.

Archiving courses or creating new versions each year isn’t practical for us we have a large learner population and must maintain continuous compliance for audit purposes.

This is the only thing learners can see with courses that need renewal and this is not a practical or learner friendly option:

Has anyone found a workable solution or workaround for rolling compliance renewals with automatic re‑enrollment?

Any insights would be greatly appreciated.

You're describing the challenges we all have with the Certification & Retraining app, and it sounds like you are aware of all the options/workarounds.

Docebo is already working on developing a completely new process for this. You can find it on their roadmap.

Thanks Ziv. I can see it on the roadmap, but it was posted back in July 2024 and is still sitting under “Under Consideration” with no ETA. I was hoping there might be an update, as this would be extremely helpful for a lot of us.

We also experience all of these issues, we do archive and re-enrol people once their certification has expired but like you said this is a huge task which we would rather not do.

@LiahP thanks for raising. We have the same issue where learners are simply ignoring the “Certifications to Renew” widget (which is front and centre on their homepage) and renewal reminder emails.

We’ve also had instances where learners have navigated to the course via the course catalogue (or from their “completed” training list) instead of clicking the “Renew” link, and as we all know, the LMS doesn’t automatically save the most recent completion date! So, we’ve had to manually update their completion status, which is not ideal.

We’re in agreement that certifications should automatically expire (i.e. automatic archiving and re-enrolment) - or we should at least have the option! Just like ​@Ella Seaton, we are having to archive and re-enrol expired learners manually.

Hi - chiming in that there are definite deficiencies with the current state tools but the Docebo team does have a product development group that has been getting details shared with them.
 

A lot of promising things are moving along with it and the evolution has been happening in stages. And this is slated to be better addressed with a specific learning object revamp (a special type of learning plan) and there has been further strides w it in terms of a safe harbored commitment to be released into the second half of the year. Being able to get to a good place with the auto archiving of courses has been a big part of the story. 

In the absence of a model that many are successful with - we do annual windows and times of the year where we release compliance training and we also use enrollment rules to get people during onboarding. Even though it is not ideal? We publish a new learning set of learning objects to keep up with the release cycles of our materials - meaning we have an annual compliance training 2022, annual compliance training 2023, etc as an example.
