Learner requests a copy of their training records

I’ve received a request for a statement of someones training record. Potentially they are leaving an organisation and wish to take a copy of their training records or something like that.

My understanding is the Docebo Learn platform is designed to view your records online, but I have not seen anything that would be easy to print or download to PDF a full training record for someone.

A custom report is about all I can think of that generates a excel document which is something anyone could mock up. 

Any thoughts on how this might be done, or indeed if there is a feature I have not found yet?

This sounds like the one use case where the PDF based “User Personal Summary” report is actually an ideal solution.  Navigate to Admin > Users > Search for the user, then click the ellipsis and select “User Personal Summary” and you should see an option to download the PDF.

Excellent thanks for that Mark I use that all the time but hadn’t noticed the repot as a PDF option that solves that problem. Many thanks.

The layout of that PDF is pretty poor and it includes a lot of unnecessary content.  As an alterative I think I'd find it easier to take a screen grab of the courses page for that user as its cleaner. Obviously they could just do this themselves.

We have also used some CSS to hide some of the columns on that screen so now it only shows course name, user status, completion date, and the link to the certificate. 

You can also print to PDF (rather than download to PDF)  from that screen and it gives you a much cleaner view.

So lets take a deep-breath for a second exhale, and not over think about this. I have gone down the rabbit hole on occasion during audits with this...and I will tell you that @jckemv - your approach is what I used because I could highly control the format.

What I come back up with in summary.

@mark is my winning approach - but to @KTJD’s point the PDF needs love.

@jckemv - your opening discussion/approach I would believe is the cleanest possible. (building a report that has all courses mapped to it for a single learner)

Can someone from Product let us know - are the profile and course summaries roadmapped to be overhauled anytime soon?

We are a law firm, and our lawyers attend a lot of external training to comply with regulations.  This unfortunately isn’t included in the User Personal Summary.  We have to run 2 separate reports at admin level and combine them.  I would be very interested to hear if there is any plans for an overhaul.

Personally I think that a user should be able to download their own record of everything they have done on the platform - formal internal eLearning / ILT training, external training they have added themselves, and also any content they have consumed via Discover, Coach and Share.

A thought: You could also treat it like colleges do, which is having the person make a formal request for the “transcript”. When another college is looking to grant credit to a student based on their completions, the new  college send a request to the previous one for a formal transcript.

I realize this could be a lot of work, so I would think it only matters for critical information: true certifications, CEUs, etc. Otherwise, providing a custom report of employee’s completions seems fine.

@KTJD Would it be possible to share the CSS you use to hide the unnecessary content in the User Personal Summary? We would also like to achieve a cleaner view.

yes its:

 

.courses-grid-wrapper .gridItemsContainer table.items th:nth-child(1),

.courses-grid-wrapper .gridItemsContainer table.items td:nth-child(1) 

{display:none;}

 

Where (1) is the number of the column you want to hide.  you just need to repeat the whole thing for each column you want to hide.  We hid 1,5,7,8,& 9

 

(I didn't figure this out, someone else at my org did, so can't be sure its the best way to do it - but it does work)

Hi @Angela.Cotton - they are both standard reports.  We use the Users - External Training report and the Users - Courses report, and then combine the 2 before sending to the learner.

There’s probably a more efficient way to do this using webhooks/APIs etc, but we don’t have that know how 😀

This program continues to disappoint. Printing a report with all ceu both internal and external should be standard

We had a third party build this report for us because it was so critical that users have the functionality to pull a full report of all training and any comments they made about them (left using additional fields). I really hope that Docebo do get this sorted out one day.

That’s the correct answer! An option should exist (as an industry standard) for users to download their own summary reports. Full stop. I continue to be shocked with how few standard features have been implemented on @Docebo to just meet expectations of the use of their product!
