Can Power Users archive enrollments for new certifications?

I’m just curious if any thought has been given to allowing Power Users to archive enrollments for the new certifications? It seems that they can do everything else if assigned, but this is one that I can’t give them.

Use case: I have a handful of trainers who manage safety and equipment certifications: PIT trucks, OSHA, etc. They brought up the question about how to trigger re-training outside of the normal flow. For example if there is an incident that needs to trigger re-training, or if a certification needs to be revoked. I found that with the new certification tool, a SuperAdmin can select the enrollment, choose to Archive it, and choose to “Renew Certification” from the next screen.

A related issue to this is that we have certifications tied to ILT courses that our trainers typically manage with little activity from the users. If the users do not click “Renew,” then the ILT course can be taken but the certification will not be renewed. This will mean a fair amount of hands-on intervention from me as a SuperAdmin.

Can this function not be given to Power Users? Will they have to come to me as a SuperAdmin if this situation occurs?

Hi Chris, Ciaran here with Docebo Support!

Unfortunately Power Users currently cannot archive enrollments for the new certifications. This is a restriction on certification enrollment archiving, rather than a missing permission in your Power User profile. For the specific Archive > Renew Certification workflow you described, your trainers would therefore need a Superadmin to perform that action.

This is separate from archiving an individual course enrollment, which Power Users can do for assigned users and courses with the required permissions. The course enrollment archiving permissions do not grant access to certification enrollment archiving.

I don’t have a confirmed roadmap update or delivery date to share for extending certification enrollment archiving to Power Users. There is a related existing idea, Allow Power Users to manage Certifications, which requests the ability to update and renew users’ certification

Thank you. Upvoted.

Hi @ChrisBurton,

Just wanted to share another idea: if you have Docebo Connect in your instance, you can use the archival endpoint in a recipe.

You’d need to do is:

  1. Build form for a PU to archive user’s enrollment (include an identifier for the user).
  2. Place form on page or space for the PUs to access.
  3. Build recipe to receive information from Form (Step 1).
  4. Use recipe to Archive enrollment

We’ve used flows like this to help clients allow Power Users to undertake actions automatically that are outside of the available actions in the PU scope.

Hope that helps!
