Hello,

What is the best reporting setup for Extended Enterprise usage tracking?

We want our usage reports to capture all learner seats associated with an Extended Enterprise customer, including users who are currently active, deactivated, enrolled, unenrolled, or deleted. The goal is to ensure we have a complete count of all seats utilized, even if users are no longer present in the LMS.

For example, if an Extended Enterprise customer has used 1,000 seats over the course of their contract, we need reporting that accounts for all 1,000 seats - not just the users who remain active in the system.

What reporting structure or data fields would you recommend to ensure accurate seat utilization tracking across the full user lifecycle? Since, technically, a seat-is-a-seat in Docebo and we’re paying for that seat regardless if they are still active in the LMS.

I also wonder the same for branches? We often sell seats to clients. We want to make sure that we account for all 50 seats including those users who are no longer enrolled.

Thanks,
Renee

Not sure I fully understand your user case but in the “users - courses” report, you can add a field that shows the branch the user belongs to. That said this may only give a partial view of what you describe above.

Are you selling courses using eCommerce? Do you use Subscriptions? How are your seats assigned?

Hello @lrnlab,

Currently, we have clients with Power User permissions who can enroll learners into courses and learning plans. My understanding is that Docebo only counts a user as having consumed a seat once they have actually engaged with or consumed content. Simply enrolling a learner does not necessarily mean they have taken a seat. (For context, we are on a Yearly Active Seat plan, not an MAU plan.)

I can easily run a report showing how many users belong to a specific branch, and I can also report on how many users are assigned to learning plans. What I have not been able to determine is how to run a report that identifies whether users are actively consuming content and therefore counting as active seat users. Since enrollment alone does not consume a seat, I’m looking for a way to report on actual content consumption or activity that would indicate seat usage.

To answer your last questions - yes to all! Each client has a different use case! We use Docebo in a very unique way! We sell off-the-shelf, B2B, Extended Enterprise. We pretty much use ALL selling and enrollment aspects that Docebo offers. 😄 But the above is specific to getting an active user count per branch (aka client).
