Question

Answer

Optimizing Game Mechanics to Motivate Learners When you create a new badge, is it awarded retroactively? No, automatic badge assignment is not retroactive, so it only applies to users who meet the criteria after the badge rule is created. If needed, badges can still be assigned manually through the UI or via CSV.
Optimizing Game Mechanics to Motivate Learners When would you only allocate points rather than points and a badge? We always have to add and image so I don’t understand the use case. Use points only when you want learners to earn points without displaying a badge in their Gamification area. This can be useful for time-bound campaigns, contests, or leaderboard activities where you want to reward behavior without adding more visible badges to a learner’s long-term badge history.
Mastering Live Learning: ILT and VILT Essentials Can we have users automatically be unenrolled if they did not attend an event or session? Docebo does not currently offer a native way to automatically unenroll learners based on absence from an event or session. What it does support is attendance-based session completion, so you can require learners to be marked present for a certain number of events in order to complete the session. If unenrollment is needed, that would typically require a manual admin action or a custom workaround rather than a standard out-of-the-box rule.
Mastering Live Learning: ILT and VILT Essentials Can you explain the difference in use case for a single session with multiple events vs. A session/event for each date now that Docebo allows enrollments to multiple sessions? The key distinction is about learner enrollment scope and reporting: One session, multiple events: Use this when the dates belong to the same cohort of learners going through training together. Enrolling someone in the session automatically enrolls them in all events. Completion can be based on attending all events or a minimum number. This works well for things like a multi-day workshop or a blended program with several touchpoints. Separate session per date: Use this when each date is an independent occurrence that different learners might choose between. With the new support for multi-session enrollment, learners can now be enrolled in multiple sessions, adding flexibility. This approach is better when each date stands alone and you want separate reporting per cohort/occurrence, or when learners should be able to pick which date works for them. In short: multi-event single session = one cohort, one journey. Multiple sessions = separate occurrences learners choose from.
Mastering Live Learning: ILT and VILT Essentials Can you make a session reoccurring? For example, if new hire orientation is every other Monday at 11am CST, can that be set up automatically? Thanks! Docebo does not currently support recurring/repeating sessions natively — there's no "repeat every other Monday" option like you'd find in a calendar tool. Each session and its events need to be created manually (or imported via CSV). The most efficient workaround today would be to use the Duplicate ILT Course feature (released in Q2 2026) to copy sessions and events, then update the dates, or to bulk-import sessions and events via CSV. For ongoing programs like new hire orientation, some teams pre-create sessions several months in advance.
Let’s get connect-ED: Building recipes Is there a priority order for processing docebo connect recipes? Can they run concurrently? A Connect Recipe that's being triggered (by a scheduler or an external event) spawns a Job that is queued for execution immediately, with Jobs being the instance of execution for a given Recipe. Jobs from different Recipes are executed  independently by their own Recipe in parallel on the same Connect Workspace. Jobs from the same Recipe can have a degree of concurrency from 1 to 5, with 1 meanining that Jobs from that Recipes are executed sequentially. The degree of concurrency is a setting at Recipe level that can be set on a single Recipe basis.
Key Concepts of  User Management Can you use this “or” that conditions for creating groups? The example we did together used this “and “ that conditions.

Yes! Groups are created by making "sets" of "conditions." Each set can have up to 10 conditions. You can decide if someone needs to meet at least one condition or if they need to meet all conditions inside of a set. So, if you want to create a scenario where you use an "or" condition, you would add both conditions inside of one set and then select that users need to meet "at least one condition" for the set.

Note - if someone meets both conditions, they will still be added to the group.

Key Concepts of  User Management Can power users span across extended enterprises? Yes: A single Power User can be configured to manage users and content that live under multiple Extended Enterprise domains, as long as the branches for those domains are assigned to them as resources.
No: Power Users cannot configure Extended Enterprise itself, they cannot create or modify EE clients, domains/URLs, domain-level branding, e-commerce, SSO, or other global EE settings. Those configuration tasks remain a Superadmin responsibility.

Key Concepts of  User Management Is there a limit to how many branches a user can be in?

While there are a few of our longest-standing customers that retain the ability to place users into more than one branch from a previous state of Docebo, we strongly recommend to keep each user in a single primary branch that best reflects their core reporting line or “home” organization unit.

Use groups and additional user fields (e.g., role, country, function, project team) to represent cross‑functional assignments or special audiences.
This model preserves the benefits of branches for enrollments, reporting, and delegation, while keeping the platform simpler, cleaner, and more predictable for both learners and administrators.

Key Concepts of  Content Management Does recalculating enrollments notify the learner that they need to finish the LP again? No, not directly. Recalculating learning plan enrollments updates the learner’s learning plan status based on the current plan structure, but it does not itself send a learner-facing notification saying they need to finish the learning plan again.
Key Concepts of  Content Management Can you set manager notifications for users who fall out of validity for a course/learning plan? For courses, yes—you can notify managers using course notifications, including the digest version of “Learner has yet to complete a course,” which can be configured to include only expired enrollments. For learning plans, the closest notification is “Learning plan enrollment expiring,” but managers are not currently available as recipients for that notification.
Key Concepts of  Content Management Can you unenroll a user from one course within a learning plan if it’s not applicable to their position, instead of creating an additional learning plan?

No, you cannot truly unenroll a learner from a single course that’s part of a learning plan while keeping them enrolled in that same learning plan.

Docebo enforces that if a user is enrolled in a learning plan, they must also be enrolled in all the courses assigned to that plan, and direct course-level unenrollment is blocked when the enrollment comes from a learning plan.

Practical options:
Use “Suspended” status on the course - Set the learner’s enrollment status in that specific course to Suspended.
They will still see the course listed (and the learning plan stays intact), but they cannot access the course or its training materials.

Adjust the learning plan structure (if it’s generally not required) - Make that course optional in the learning plan so it doesn’t block learning plan completion for people who shouldn’t take it.
Everyone will still see it, but becomes not mandatory for everyone.

Manage this learner outside the learning plan - Unenroll the learner from the learning plan and then enroll them only in the subset of courses that apply to their role. This avoids giving them access to the non-applicable course but also removes learning-plan-level tracking for that user.

Key Concepts of  Content Management When a course is updated via adding/removing training materials, how does that affect the analytics? IE. I have a course with 3 chapters, I add 1, does the completion for previous users change? If users already completed the training material/course, completion is generally preserved; completed users keep Completed even if the training material is modified. Deleting material is riskier because it deletes tracking and can change completion data; hiding material is safer and only affects future completion logic for users who never completed that item.
Enhancing Learner Experiences with AI

Does Harmony respect learner’s access rules to content/catalog as configured in the system?

Note: “Harmony” is updating to “AI Assistant” in Docebo, allowing you to  name it yourself in your platform!

Yes, Harmony strictly respects the learner's access and catalog visibility rules configured in the platform. By default, AI responses only reference published courses where the user is actively enrolled and not status-restricted. If the "Allow catalog content in responses" setting is enabled by an administrator, Harmony can also reference free catalog content that the user is entitled to view and self-enroll in, while strictly blocking locked courses, hidden catalogs, or content with unmet prerequisites.

Enhancing Learner Experiences with AI Is Docebo seeing any feedback regarding the environmental concerns surrounding AI and how are those concerns being addressed? While we are highly aware of additional energy required by AI across the entire global economy, this is not currently a topic we've heard significant feedback or concern on from customers. That being said, Docebo has a formal sustainability program committed to net-zero emissions by 2030, guided by ESG factors and frameworks like TCFD. Key components include governance oversight and community engagement. AWS, our cloud provider, has similar sustainability goals. Across the company, from our employee resource group to individual employees, we continue to learn, improve, and be thoughtful global citizens.

With Harmony where is the information being pulled from? Is it course descriptions or is it able to pull from content like SCORM files?

Note: “Harmony” is updating to “AI Assistant” in Docebo, allowing you to  name it yourself in your platform!

Harmony pulls information directly from learning content files, not just course descriptions. It features advanced text extraction and audio transcription capabilities that allow it to analyze and pull information directly from SCORM and xAPI packages (such as Articulate Rise and Storyline), Docebo Creator lessons, PDFs, Word documents, PowerPoint presentations, and audio or video uploads.

Enhancing Learner Experiences with AI Is there a way to track user searches to determine where learners are getting stuck? Yes, the Search Analytics Dashboard provides adminsitrators a dedicated view into search behavior across both traditional keyword search and Harmony's AI-powered conversational search.

Enhancing Learner Experiences with AI Does Harmony for a learner pull from external websites like traditional ChatGPT/Copilot, or is it only searching the learners LMS content that they have access to? No, Harmony does not browse external websites like traditional ChatGPT or Copilot; its answers are grounded on the platform's indexed LMS content that a specific learner is authorized to access. However, Superadmins have a dedicated configuration setting called "Allow general AI knowledge in responses." When enabled, if platform content does not provide an answer, Harmony can draw upon its general AI knowledge to assist the user. If administrators deselect this option, Harmony's responses are strictly restricted to the indexed platform content only, ensuring a fully secure, context-grounded experience.

Closing the Skills Gap Does this allow us to turn off the AI skills suggestions if we want to force focus the skills we want users to see and select? Also for Team Leads can we allow them to assign levels or skills rather than just suggest?

Rather than disabling AI skill suggestions, the approach is to guide employees through My Job Skills. This experience highlights the skills expected for each employee's current role, helping them focus on the competencies that matter most for their job. AI suggestions are there to support profile enrichment, while My Job Skills provides a curated, job-driven framework that guides employees toward the right skills to assess and develop.

For team leads assigning skills or proficiency levels: the approach starts with the job architecture. Organizations define the expected skills and proficiency levels through their job descriptions and skill sets, with the flexibility to manage global and local job variations, governance, and permissions across entities. Managers don't directly assign skills or proficiency levels. Instead, they provide feedback and validate whether an employee has demonstrated the expected level for the skills associated with their role. This keeps evaluations consistent with the organization's job framework while combining employee ownership with manager validation.

Closing the Skills Gap Can you setup a notification for a manager, for example, to receive if their employee changes their level of expertise? This isn't currently supported, and introducing notifications at the individual skill level is something to approach with caution. In practice, it could quickly become overwhelming. For example, a manager with a team of 10 employees, each with around 20 skills and 4 possible proficiency levels, could potentially receive hundreds of notifications as profiles evolve over time. Rather than generating a large volume of low-value alerts, the better approach is to notify managers about meaningful changes or provide consolidated insights through dashboards and periodic summaries. This helps surface what really requires attention without creating notification fatigue.
Building Modern Learning with Docebo Creator Can you lock the themes for the power users so they have to use the branded colors we choose? In this release, locking a theme won't be possible - however customers can create an organization level theme and ask power users to only use those themes for their creator lessons.
Building Modern Learning with Docebo Creator Does your AI voice tool allow for phonetic cues? For example, if I have an acronym like OAAP, can I input it as 'oh-app' to make sure it's pronounced as a word instead of individual letters? Since it's AI generated, there is a 50-50 chance it gets it right or wrong, so it will depend on the word. Most times it'll separate the 2 words and call it "oh" "app."
Building Modern Learning with Docebo Creator Do the assessments in Creator track score and completion the same as the Tests Training Material does in courses? Yes, with the assessment configuration release in July, we enabled score and completion tracking for these in the same manner. Reporting will be available under training material statistics.
