Digest: learner has yet to complete the course update

Hi - after the update last week, our Digest: learner has yet to complete the course notification is now working differently to before. We have this set as a daily notification to both the User and Manager as the recipient.

Previously, in the manager notification it would list the name of the Learner with expired training based off the First Name and Surname tags, now the First Name and Surname tags are populating the recipient’s name (the Manager) so now the manager cannot identify who the learner is with the overdue learning.

I don’t want to add the username tag between the #items and /items tags as we have the learner’s email address as their username and as our employees use their personal email this does not always identify who they are. There is no tag option to differentiate between Learner and Manager that I can see.

How are others setting up digest email to Managers to advise of Learner’s overdue learning and what does everyone else use for the Username field?

Thanks in advance for any advice! :)

@daniela.asker Have you tried the “Digest: Learner has yet to complete a course (administrator only)” notification for managers? This is what we use to notify managers when their reports have outstanding courses. Then we use the “Digest: Learner has yet to complete a course” for learner notifications. I think we had a similar issue with the name shortcodes when we first set them up, which is why we ended up using the admin only version for managers (though I don’t think it has the new extra settings unfortunately).

It sounds like the other notification used to work for you though, so I’m stumped about what may have happened with the recent updates! Maybe someone else will have more insights.

HI @daniela.asker ,

To fix this issue permanently and ensure your managers always receive clear, correctly formatted emails, you need to use Docebo’s intended best-practice layout.

The most unbreakable solution is to separate your learner and manager notifications into two distinct events rather than using a single notification with multiple recipient types.

Separate the Notifications

When a single digest is configured for both the User and the Manager, recent Docebo updates cause shortcode conflicts because the platform tries to process individual user records alongside management structures simultaneously. Separating them fixes this completely:

Step 1: Set up the Manager-Specific Digest

  1. Navigate to Admin Menu > Notifications > Manage and create a New Notification.
  2. Choose the event type: Digest: Learner has yet to complete a course (administrator only). Note: Even though it says "(administrator only)", it is specifically designed to support Superadmins, Power Users, and Managers.
  3. Under the Recipients tab, select Manager.

Step 2: Set up the Learner-Specific Digest

  1. Locate your existing Digest: Learner has yet to complete a course notification.
  2. Go to the Recipients tab and uncheck Manager, leaving only User selected.

How to Format the Manager's Email Content

Inside the newly created Digest: Learner has yet to complete a course (administrator only) template, the {{first_name}} and {{last_name}} shortcodes change behavior depending on their location relative to the loop tags: [1, 2]

  • Outside the tags: Use them to greet the Manager.
  • Inside the tags: Placing them between {{#items}} and {{/items}} forces Docebo to cycle through each subordinate's overdue training record and pull the Learner's name. [1, 2]

Example HTML/Text Body Blueprint:

html

Hello {{first_name}} {{last_name}},

The following learners on your team have outstanding or overdue course completions:

{{#items}}
• Learner Name: {{first_name}} {{last_name}}
Course: {{course_name}}
Enrolled On: {{subscribed_at}}

{{/items}}

Please follow up with your team members to ensure compliance.

Use code with caution.

Why this solution is unbreakable:

  1. No Email Usernames Needed: Because the (administrator only) template maps the data fields directly to the target row item, {{first_name}} and {{last_name}} will properly fetch the learner's actual first and last name within the loop, letting you skip the confusing personal email usernames entirely.
  2. Grouped Digesting: Instead of a manager getting a flood of separate emails for every single employee, this specific event type groups all team outliers into one clean, daily or weekly master email list.

You can review the full breakdown of tag behaviors on the Docebo Shortcodes Documentation.
