Status tracking for learner and course

2 things that would help us administer ILT courses in the platform would be the ability to mark a participant as a ‘No Show’ as well as being able to show a session has been canceled with the reason. Unfortunately, it is hard to keep data updated and have an accurate picture of enrollment trends when you have to completely delete a session or remove a user from a session.

Could not agree with ​@sbarnes08 more!  When we have to cancel a session for low enrollment, we need to track in a separate spreadsheet to keep the data otherwise Docebo shows all the courses have consistent high enrollment because we deleted the low enrollment ones.  I want to be able to run a report that shows cancelled sessions so I can find trends (time of year? day of the week? topic? instructor?)

Yes! When I mark someone “Absent,” it would be great if the system reflected that in a way that didn’t leave the ILT showing as “In Progress” on their Dashboard, and was more clearly reflected on reports (right now, I have to run an enrollment report AND absent/present report and merge the data in order to get the full attendance picture).

While we’ve contemplated adding a session additional field to track this for these exact reason, it seems like some kind of “status” for sessions should be built in functionality. At least active/inactive.

Agreeing and pushing it one step further. A status of “no show” should auto-archive the session enrolment to allow the user to enrol into another session. A “not attended” status as the course level for ILT’s would also be nice to see

Agree with all of this, we are facing similar challenges as all have met here.

To take it further, it would be great if attendance could be derived from attendance but with a required number of hours or other way to mark complete. We only give “complete” status to those who attend the full class. If someone leaves early, we mark them “Absent” and note the hours attended. No shows have to be marked as “Not set”

Cancelled class management is essential for us moving forward.

We looked for workarounds for this and:

  • if we would change the session status to “Suspended” it was not okay, because those learners would still be able to access the course page and to see and enroll in future sessions - in an environment when we sell training to customers, we cannot allow this, as it would create chaos for users to enroll in what sessions they want
  • if we would change the session status AND the course status (both) to “Suspended”, then it would be okay as the course will show as locked and you cannot open it at all, BUT you need to have very good session admins because it’s very easy to forget about the course status
  • if you leave them as “Enrolled” it was okay, they cannot see other sessions, but you also cannot distinguish the absences from the users for which the enrollment status was not updated post-session, unless you look at the entire session (session not updated would show all Enrolled, while a session which was updated would show most Completed and some Enrolled, so you can conclude those are the ones who were absent) - best compromise

But definitely a “no show” or “absent” status would be great.

Additionally, this status text as string in the Localization tool, so we can change it as per our stakeholders’ desire, if needed.

Agree with all of this!

We to experience a number of learners that may miss an event for various reasons (leave, away sick, change in availability) and then those who unfortunately just don’t attended and we don’t have a clear way to report on or track this kind of learning data to get a true picture of our learner experience. Also, then this session and event sits on our leaners profiles often as “In Progress” which again creates an inaccurate view and also confuses our leaders when they view their My Team Dashboard.

Any one from Docebo able to provide some comments on if this is getting looked into?

The Localization workaround is a bit tedious only because we make one word into another and what is going to happen if they end up adding a No Show as an option. Is there going to be a way to consolidate those two. I am unsure why, at minimum, no show has not been included in the list of statuses since they added an ILT option.

Just to eliminate any doubt, my point above was an addition to the idea, so that in case Docebo will ever add a “No show” option for the status, to ensure this status will be included in the Localization tool, so we can rename it according to our business needs and tone of voice (absent, did not attend, missed, etc.). I never meant to say Localization tool can be used as a workaround for this scenario.
