Since the folks are usually temporary (except for Board members) and their data does not change all that frequently, we create them using the CSV import. You would need to your HR team to advise you when one of those types users is terminated so you can deactivate their profile.
If you have a way ti include them in your Workday export (connection), that would definitely be the best and simplest solution.
Thanks so much for your reply! I guess exploring how we can include them as part of the Workday import would make it a lot simpler than if we were to create a separate load from the system where their information is housed in. Will take a look at this as an option for sure. :)
Thanks!
for sure...if you have a cooperative HR team, it should be pretty straightforward...and better for your company records overall since all the data is in one place..
These employees however will not be housed in Workday. They will remain in their other systems, but if there is a way for the information to be added to the upload file to Docebo that might work (this is what I am thinking)
I understand…
We used 2 different systems as well for employees vs non-employees but if you can combine them into a single import source file, that would be solution you need.
In our company contingent or contractors are loaded in Workday. All users have a field against their name in workday: Employee or Contingent worker so they can be differentiated.
We need to load our contingent workers in workday as this sends user info to our authenticator sso tool for many of our platforms that needs sso. It is a bit of a loop.
It works great for us as these users are provisioned in Docebo just like our employees are and we populate the user field Employee or contingenet to also make sure we can group users accordingly.
If your HR folks are accomodating perhaps you can work out adding these folks are agency contractors, franchises owners or members of the board.
@Cheney Thanks for your reply!
We have other contingent workers that are set up this way, but this group of employees is a bit unique as they do not work on site at our premises but are part of the organization. They are not in Workday but in another system. We are trying to figure out if there is a way to bring them into Docebo when they are not in Workday as other non-employees are. It would be great and worthwhile for us to explore how we can include them in Workday as a separate group though.
