I am struggling with a course/training material issue and could use some help!

We migrated external vendor courses into our system mid-2024 and imported prior completion records (through migration date) with those courses.

For example:

  • I created course 0221, loaded the SCORM file as a training material, so course was live in our LMS
  • Emily previously completed the course in the other vendor’s training portal on 4/1/2024 prior to creating the course in our LMS
  • I imported previous completion records to reflect that Emily completed the course on 4/1/2024
  • When Emily logs into the LMS and restarts the course / completes the training material again, the course completion date does not change

This is causing reporting issues because reports can show strange records such as:

Course completion date - 04/01/2024

Training material last completion date - 01/15/2025

 

Is there a way to synchronize training material completion and course completion? I am attempting to avoid having to archive a ton of enrollments, as these courses could be accessed multiple times per year. I simply want the course completion to update in tandem with the training material completion -- especially if there is only one training material within the course, which is the case for a lot of these courses…

there is no real relationship between the two especially when migrating...you are probably be better off archiving the previous (migrated) record (archive and re-enroll) and then the user would have the course status reset to Enrolled and since they never competed the training material on the new LMS, this would then count as new completion with the proper completion date.

Do you have any suggestions for courses that are more “self-study”? Archiving and re-enrolling will add the item to their “to-do” list widget (shows a list of tasks related to the user). These are optional courses that Learners can complete multiple times. 

Is there a recommended best practice for archiving enrollments? The current lack of relationship between training materials being completed + course completion is interfering with effective reporting. Course reports show that the course was last completed in the past, when in reality the Learner completed the training material/course on a new attempt in our LMS. 

If only some of the training materials are optional and user can/should review on a regular basis but where you may not need detailed reporting, using the Channels to load your non-mandatory content may be an option you can look at.
