Custom Reports Builder

Hello Everyone,

We are now utilizing the Custom Reports Builder, as we can no longer create additional reports using Legacy Reports.

With Legacy Reports, scheduled report emails included an Excel file attachment, which allowed recipients to access the data immediately. However, with reports created in the Custom Reports Builder, the scheduled email only provides a link to the report. This requires three additional clicks for users to access the same type of information.

Has anyone found a way to have an Excel file attached to scheduled report emails generated from the Custom Reports Builder, similar to the functionality available in Legacy Reports?

Any insights, workarounds, or best practices would be greatly appreciated.

The closest I have found for this so far is when you create the report, there’s an option for “Requires login to access” that is auto-checked. If you uncheck that box, when you click the link in the email or in your notifications, it does open a new tab, but it auto downloads the excel file without having to re-login. 

 

If anyone else has a way to have just the file emailed though, that would be ideal!

Thank you for sharing this feedback. You’re correct that scheduled emails from the Custom Reports Builder provide a download link rather than attaching an Excel file, as Legacy Reports did. This was an intentional design decision based primarily on two considerations:

  • Access control: A download link keeps report access tied to the platform’s permissions and access controls, rather than distributing report data directly through email attachments.

  • Reliability: Email providers impose attachment-size limits, which can prevent larger report exports from being delivered. Links avoid this issue and provide a more reliable approach as report volumes grow.

We recognize that this adds steps for recipients who simply need immediate access to the exported data. At this time, there isn’t an option to attach an Excel file to scheduled emails from the Custom Reports Builder.

For automated workflows that require direct access to the report output, we recommend using the Report API to retrieve the report as a CSV file. While this requires some initial setup, it is a more reliable long-term approach for downstream processing and is not affected by email attachment limits.
