Document management help needed!

Hi everyone!

I'm looking for a way to share a single document (like a PDF) stored in Docebo via a direct, stable link.

My goal is to allow external users to click a link, register if necessary (self-registration is acceptable), and access only that specific document. I want to avoid enrolling them in an entire course just for one file.

I've looked into using links from the file repository, but it appears these links expire, which doesn't work for our needs.

Has anyone successfully set up a way to provide persistent public access to a single file hosted in Docebo, outside of the standard course enrollment structure? Any insights or alternative methods would be greatly appreciated!

Does this need to be tracked? Do you have Discover Coach and Share? This seems like an instance where utilizing that feature would be a direct use case. 

 

If you do not have that package, the easiest approach would certainly be the course creation. If trying to really identify a work around, you could also create a widget on a page for users to click to possibly access this link which could be a page you develop or have externally. You could share that link to users as well of access as a standalone in an e-mail.

Hi, it does not need to be tracked, and yes, I have DCS. I’m not sure how to use it in this case but I can explore!

I think it would be as simple as just uploading the link and sharing it with the users you need to target. Depending on visibility, you could also create a channel to support this resource and the permissions.

Here is a quick helpful article on DCS. We use it avidly in our organization to house job aides and documentation. In some cases (where documents are frequently updated to new revs/changes), we will have the document linked as an Asset to the DCS Chanel for access so users always get the most current information. Additionally, we love the limited scope of visibility we can use to strategically make channels and the use of groups so the visibility to the channel can extend further but the interactions between user groups can remain private.

Put the single document in a course, and you can generate a direct course link to the material under Course Settings → Enrollment Options → Generate Link

Then just pass the link around as needed, with instructions on self registering before hand

Though this is a great approach, Mark’s goal was stated in his statement “to avoid enrolling them in an entire course just for one file.” Thus the solution above. 

Passing around the link will still enroll users when they click the link to access the course and download the document.

Yup that is accurate, but this would put the enrolling on the user rather than the Admin which he may not have thought of!
