ILT Event Structure Help

We’re switching from Litmos to Docebo. I’m confused on Docebo’s ILT options.

I have a ILT training where learners must attend 1 session to complete the course. They should be able to self sign up for a session (there’s 2-3 per month) and select a different time as needed. Learners attendance should be marked by the instructor post-session.

In a perfect world, this would be the learner flow:

  1. Learners are enrolled in a ILT Training Course. 
  2. Learners select the time they want to attend and see a zoom link. 
  3. Learners can return to the LMS for the zoom link or save it in their calendar.
  4. Learners attend the session.
  5. The instructor marks the learner as complete.

Should I be building out 1 session with 1 event each for each time there’s  time slot held? or should I build out 1 session with multiple events (session dates)?

I’ve tried mocking up both. It seems like if I build out 1 session with mutliple event dates the learner isn’t actually signing up for a specific event date? They see the list of all the event dates/times and choose?

My name is Cheyenne and I lead our live training program here at Docebo :) We offer courses where you get to build a live Docebo platform from scratch over the course of 4 several days, so I can offer some background on how we set that up to provide context. Then I’d be happy to share a little insight on where my mind goes for your workflow!

We have three courses that we currently offer; I’ll talk to you about our flagship offering: Fundamentals of System Administration. It is four days long and we offer it 2-3x per quarter. 

  • I have one course set up so that all reporting is attached to one thing - Fundamentals of System Administration
  • I set up a new session every time I’m offering new dates (so I have 2-3 sessions per quarter)
  • I have four events in each session because we meet on four separate days - one event per day
  • Note: I duplicate sessions and events to reduce manual entry.

From your post, I would personally approach it by creating a new session for each of the 2-3 events per month. I would have one event in each session. I gravitate to that answer due to the benefits in reporting as well as the ease that the learner will have in registering (it creates friction when learners don’t understand the difference between sessions and events, so this approach negates that issue entirely). 

One last tip: Not many people realize that you can set up a page with a catalog widget and select “Calendar” view. We don’t have any office hours scheduled at the moment, but if you check out the Live Events Page in DU and scroll all the way down to the bottom, you can see a calendar view that (in my humble opinion) works better than the outright calendar widget. You would just create a catalog for your ILT course(s), select that catalog in the catalog widget, and then set the view method to Calendar. Just a little more learner-friendly!

Hi ​@lizhuber , welcome to the Docebo community! This is a very common point of confusion when transitioning from other LMS platforms.

To answer your question directly: You should build out 1 Session for each available time slot, with 1 Event inside each of those Sessions.

Here is why: In Docebo, learners enroll at the Session level. When they do, they are automatically enrolled in all the Events contained within that Session. If you bundle multiple dates (Events) into a single Session, Docebo expects the learner to attend every single one of them. By creating individual Sessions for each date, the learner will see a list of available dates on the course page and can choose the specific time slot that works best for them.

Before you finalize your setup, a couple of tips that might make this even smoother:

  1. Automate the Attendance: You mentioned the instructor marking attendance post-session. Before having them do this manually, check out the VILT properties. When setting up the Zoom event, you can select the option to "Mark the event as attended when the user joins the webinar." In organizations I've worked with, relying on this built-in automation dramatically reduces the administrative burden on instructors.

  2. Calendar Integration: Are you utilizing Docebo Connect? If so, you can enable external calendar invitations. This allows Docebo to automatically send the learner a calendar invite.
