Good day Community,

Somewhat of a spin-off from this post - my organization is looking to roll out a new learning pathway, and we’re trying to estimate usage while being conscientious of the amount of licenses we’re allowed.

Understanding that Docebo counts an “active” user as someone who is activated in the platform and has accessed at least one course or training material, do any of you know whether enrolling someone into a learning plan acts as the equivalent of that? Would a learner accessing the learning plan (but not necessarily touching the courses or course content within it) account for one of those “active” user instances?

Many thanks for any insight you might be able to provide.

@LNew Enrolling users in a learning plan does not trigger an increase in the active user count.  Only when they access training material in the e-learning course for the first time or attend a session in an  ILT course would they count.  Here’s the Knowledge Base article that defines how an active user is counted:  Active Users

@anne.bucci Thank you for the clarification. I had wanted to double-check and ensure that I wasn’t missing some nuance there. I appreciate your time!

@anne.bucci thanks for the information. Does that mean if a learner accessed a course when they first logged in 2022 they would still be considered active today despite not accessing any other courses or performing any other actions listed in the Docebo Learn chart show in the article you referenced? Thanks for your time!

@Bkatzman - “Active” user counts are reset and tracked on a monthly basis.  On the MAU (Monthly Active Users) report, your learner who accessed training in 2022 would not still be showing active past the month they accessed the training.  However, their profile could still be “active” on the system which would allow them to log back in, access a course in the current month, and then show on the current active users report.  In my use case we pay for 2000 active users per month and have over 2000 profiles, but since not everyone accesses the system every month we have never reached the 2000 users threshold and it resets back to 0 at the end of every month to start a new cycle.

@trose23 this was super helpful. Thanks!

I’ve been running a lot of ILT classroom courses that have learners attend. So using the LMS as designed to record attendance, and having enrolled the students in a session, simply marking them as attended to update the database records constitutes an ACTIVE USER. So basically I am chewing through my active user quota per month just updating a database. We use an LMS to capture data in one place so I feel pretty ripped off after paying a lot for the system, and then charged to simply add data to it about enrolments. This may force me to have to leave this product now sadly. I think it is outrageous to consider that person as an active user having a record simply added to a database.

Is there a way of access this through the API or is DOCEBO always going to have a cost behind everything they implement besides the costly yearly subscription?
