How do I create new certifications without a course?

Hi,

I have a large number of legacy certifications that are not linked to any courses or learning plans. We use these entries to track qualifications and cards/licences which are manually awarded.

I’ve attempted to re-create one of these entries as a new certification but I require a minimum of one course to mark as published. I want to avoid having to create courses for each of the cards we need to track. Is there anyway around this?

By way of example, here are some of the cards that we track renewals for:

  • CSCS Black Manager Card
  • CSCS Blue Skilled Worker Card
  • CSCS Gold Gold Skilled Worker Card
  • CSCS Gold Supervisory Card
  • CSCS Green Labourer Card (February 2025 onwards)
  • CSCS Green Labourer Card (Pre-February 2025)
  • CSCS Red Apprentice Card
  • CSCS Red Experienced Technical, Supervisor or Manager Card
  • CSCS Red Experienced Worker Card
  • CSCS Red Industry Placement Card
  • CSCS Red Provisional Card

It doesn’t make sense to have a course for each card, as strictly speaking the card is what is given after completing several training courses. I don’t want to create a learning plan either as the training that can be used to obtain some of these cards is varied and not something we can track currently in the LMS.

I have a similar situation, where we used to have certifications created that were linked to external certificate uploads. ie. Provincial Liquor Serving Certification, First Aid Certification. These are taken externally and our old certifications were tied to the upload of the new certificate. 

I don't see that option in there anymore and can’t figure out how that would transition over going forward?

i believe they said something in an older post about support for external training is coming closer to the launch, but for me if you’re collecting copies of certificates I’d create a course with just an Assignment in it so they can upload the certificate to mark the course complete.

Thank you, I must have missed that.

The issue we have with having it be a course with an assignment to upload the certificate is that the renewal date then becomes attached to when the assignment was uploaded and approved - not when the external training or certificate was actually issued. So if I took a First Aid course last month and only upload my certificate today, the recertification date is attached to the wrong month. 

If we only had 20 employees, it wouldn’t be a big deal. We could manually put in the expiry date for the recertification. But with 12k employees, that is simply not possible for us.

We have the same problem.  We have multiple recertifications for trainings.  We create a “certificate upload course” with an assignment for them to upload.  I then have to go in and evaluate the uploaded certificate is valid and then have to modify the enrollment date to the day they actually took the course.  I am talking hundreds each month have to be updated. Additionally, we have recertifications with varying renewal dates; for example, 1 year, 2 years, & 3 years.  We use separate learning plans for different units in the organization based on their position title. Within these learning plans there are courses that require these recertifications.  With the new release, we will not be able to include these in the learning plans.  Not sure how we are going to restructure based on the upcoming release of the “Learning Plans and Certifications experience”.

 

I did see something new in the beta Learning and Certifications about ILT sessions having a way that automatically updates the completion date by providing a QR Code where the learner can complete a quiz for example at the end of the session and when they submit it updates the course completion date and status.  I need to revisit to try and see exactly how it works.
