Thank you to everyone who attended our October Product Release Series webinar on What’s New in Docebo. If you missed it, you can catch it here on demand.
We received a lot of great questions during the live event. Here are the ones we couldn’t answer live. To make things easier, we’ve grouped the questions by topic and included a table of contents for quick reference.
AI pricing & controls
| Are new release features included in the subscription or priced separately? | Some capabilities are included in the platform, while others require a separate license or usage allowance. Certifications & Retraining is a core platform capability. AI Assistant and Agent interactions use AI credits, while AI Roleplay is purchased separately as simulations. Your account team can confirm the products and allowances included in your agreement. |
|---|---|
| Is AI Roleplay moving to flat-rate pricing? | Yes. AI Roleplay is purchased as an annual volume of simulations, separate from AI credits. Each attempt, including a retake, counts as a simulation. Chat, voice, and video use the same simulation unit. Learn more about simulations here. |
| What happens when an AI credit limit is reached? | When a configured AI consumption limit is reached, the affected AI action is blocked and the user receives a limit notification. Admins can set limits to control spending. Contract allowances and overage terms are separate from these configured limits. |
| Can admins allocate AI credits to specific users or groups, including Creator users? | Yes. Admins can set AI credit limits for individual users, groups, and branches in AI Credits Management and monitor overall usage. Credits are shared across the account rather than reserved as separate balances for each learner. |
| Can admins prevent specific users from spending AI credits on video generation while allowing other Creator AI features? | You can set AI access, allocations, and credit limits for individual users, groups, or branches, but those controls apply to credit use overall. There isn’t currently a separate permission to block AI Video Presenter for selected users while keeping other Creator AI features available. A credit limit can help manage spend, but it won’t target video generation specifically. Core Creator AI capabilities such as assessment generation, translation, and lesson narration don’t consume AI credits. AI Video Presenter includes 30 minutes of generation per platform; after those minutes are used, generation consumes 48 AI credits per minute. Credits are charged when a video is generated, even if it’s later deleted or the lesson isn’t published. Admins can review usage by event type in the Usage dashboard to see who is generating videos, though that report is for monitoring rather than blocking video use by itself. See the AI credit system overview. |
| Does an AI Assistant or Agent conversation use one credit per conversation or per response? | Usage is metered by the billable action or generated output, rather than per conversation or interaction. A follow-up in the same conversation can create another billable action. The number of credits depends on the operation and model, so use the current rate card rather than assuming every response costs one credit. |
| Are credit-consuming questions and answers logged or archived? | The usage report records consumption events, including the user, event type, time, quantity, and credits used. It is a usage ledger, not a full archive of the questions and answers in each conversation. |
| What does AI Roleplay reporting include? | Completed AI Roleplay attempts generate individual reports with feedback based on the conversation and the configured evaluation rubric. Reviewers can access reports after learner submission. An AI Roleplay insights dashboard is currently in development. |
AI, Agents & Knowledge
| Do Knowledge Collections track learner views or completions? | No. Knowledge Collections provide context for search, the AI Assistant, and Agents. They are not course activities with learner completion tracking. Knowledge data-volume reporting is separate from tracking learner views or completions. |
|---|---|
| How is data shared through Docebo Knowledge protected? | Docebo Knowledge encrypts data in transit and at rest and does not use customer data to train AI models. It enforces permissions from connected systems, and admins control which sources are connected and indexed. Source documents remain in their original systems while Knowledge creates an index for retrieval. |
| Does the AI Assistant use connected Knowledge, and can it be limited to one Collection? | Yes. The AI Assistant can use connected Knowledge that the learner has permission to access. Users can narrow sources with the Knowledge sources filter, but that is different from an admin permanently restricting the general Assistant to a single Collection. Custom Agents can be configured with specific Knowledge Collections. |
| What’s the difference between the AI Assistant and Tutor Agent, and can they use connected Knowledge? | The AI Assistant is a broader conversational entry point for questions and search across content available to the learner. Tutor Agent provides contextual support while a learner is in a course or learning experience. Both can use Knowledge, but Tutor Agent’s Knowledge context is limited to Collections attached to the course by an administrator. Access remains subject to configured permissions. |
| Can Reinforcement Agents appear only for selected groups? | Reinforcement Agent is enabled and configured per supported course. It runs for eligible learners who complete that course, rather than being selected directly by group. Custom Agents can be restricted to target groups or branches. |
| Do AI Agents respond in multiple languages, and do admins need to provide translations? | Agents can respond in the language a learner uses, so admins do not need to supply translations for Agent replies. The welcome message and conversation starters remain in the language used when the Agent is configured. Course and Knowledge content must be available in the languages learners need separately. |
| Which languages do AI Agents support? | The AI agent supports more than 30 languages and detects the language the learner uses. Welcome messages and conversation starters remain in the language used during configuration. |
| How can learners open an Agent without selecting it in the chat window? | Learners can open an available Agent from the Agent menu in the lateral chat panel. Reinforcement Agent works differently: it proactively engages eligible learners after supported course completion via in-app notification. |
| Can Docebo Knowledge connect to systems that are not included in the pre-built connector library? | Docebo Knowledge has pre-built connectors to Google Drive, Sharepoint, OneDrive, Confluence, Jira, Slack, Salesforce, HubSpot, ServiceNow and Notion. |
Certifications & Retraining
| Can certification notifications be customized for specific certifications? | Yes. The new Certifications & Retraining experience supports certification notification events and conditions, including notifications for issued and expiring certifications. This is available for new certifications. Legacy certifications continue to use their existing notification workflows. |
|---|---|
| Can one course be linked to multiple certifications, or multiple Learning Plans to one certification? | Yes, a course can be associated with multiple certifications. The new certification experience is course-based and does not support adding Learning Plans as nested requirements. In the legacy experience, Learning Plans can be associated with legacy certifications. |
| Can admins update certification issue dates by CSV? | CSV import is not the supported way to update issue dates for new certifications. Admins can edit an individual learner’s certification dates from the certification enrollment list. New certification APIs are also exposed in the platform’s API browser. Check the available operations before planning a bulk update. |
| When and how will legacy certifications migrate to the new experience? | Legacy and new certifications work side by side, and existing legacy certifications and historical data remain available. Docebo plans to provide a migration tool before the planned retirement of legacy certifications in late 2027. You do not need to recreate legacy certifications manually. Migration timing is planned, not a guaranteed release commitment. Historical legacy records remain available during coexistence, and new-certification renewals archive prior enrollments. |
| Can existing Learning Plans be converted into new certifications? | There is no automatic conversion of an existing Learning Plan into a new certification. To use the new certification experience, create a certification and configure its courses and requirements separately. |
| Can learners see new certifications in home page widgets? | Yes. The Task List widget includes new certifications in its Certifications to renew tab when the learner is in the renewal window. Selecting a new certification opens its overview page. Support in the separate Courses and Learning Plans widget is a post-launch enhancement. |
| Can professional licenses be tracked as certifications? | Professional licenses can be submitted as External Training and associated with a legacy certification. External Training is not supported in the new Certifications & Retraining experience at its October 2026 general availability. |
| Will Learning Plans without certifications change? | No. Learning Plans that are not associated with certifications remain Learning Plans and are unaffected by the new certification experience. |
| Does each learner get an individual recertification window? | Yes, when expiration is calculated from each learner’s issue date, learners can have different expiration dates and renewal windows. A fixed-date expiration setting instead gives learners a shared deadline. Admins configure when renewal opens and how long the renewal window remains available. |
| Can course enrollment archiving and resetting happen automatically during recertification? | Yes. When a learner renews a certification, Docebo archives the prior certification enrollment and its related course enrollments, then starts a new enrollment for the renewal. |
| Can annual mandatory training use a certification and retain prior-year records? | Yes. Configure the required courses and an annual expiration and renewal policy. When a learner renews, prior enrollments are archived and a new cycle begins, preserving the enrollment history rather than overwriting it. Separate initial and renewal course paths are not currently supported. |
| Will Certification and Retraining support External Training? | External Training is not supported in the new Certifications & Retraining experience at its October 2026 general availability. It remains available in the legacy certification workflow. No committed date for adding External Training to the new experience is confirmed. |
| Can a certification use different requirements for initial completion and renewal? | No. The same courses are currently used for initial certification and renewal. Admins can change a certification’s course requirements and choose how those changes apply to existing learners, but cannot configure a separate renewal-only path. Separate paths are a planned enhancement without a committed date. |
| When will “My Courses and Learning Plans” become “My Enrollments”? | The navigation is now called My Enrollments. Learners can still find their courses and Learning Plans there, along with certifications and renewals. |
| How do Power Users get access to the new certifications? | Give the Power User profile the required Learning Plan permissions and assign the relevant certification as a resource. Access remains subject to the permissions and resources assigned to that profile. |
| Do learners need to complete optional courses to renew a Learning Plan certification? | No. Learners must complete the required courses for the certification. Optional courses are not required unless they are configured as prerequisites. |
| Can one Learning Plan support several compliance certifications, with each certification tied to its own requirements? | New certifications and Learning Plans are separate learning programs, and both contain courses. You cannot nest new certifications inside a Learning Plan or add Learning Plans as requirements inside a new certification. Configure each compliance certification with its own required courses. |
| If certification requirements change, can admins keep completed learners certified? | Yes. When changing certification requirements, admins can choose not to recalculate completed enrollments, recalculate all completed enrollments, or recalculate only selected groups or branches. |
Platform & administration
| Can managers view indirect reports in My Team? | Yes. Managers can include indirect reports in the Courses and Learning Plans dashboards by using the Association level filter. Direct reports are selected by default. Dashboard availability depends on platform configuration. |
|---|---|
| Can admins build in Sandbox and push changes to Production? Is Sandbox synchronization bidirectional? | The standard Sandbox sync updates Sandbox from Production. It is not a self-service process for promoting Sandbox changes to Production. Contact your Docebo representative to discuss your Sandbox needs, and plan for Sandbox-specific settings to be recreated after a sync. |
| Can an API upload Training Material directly into a course or the Central Repository? | Yes, for SCORM uploads to the Training Materials repository, formerly called the Central Repository. An API workflow supports uploading the file and creating the training material. That does not mean the same workflow supports every material type or uploads directly into a course. |
| Where can customers find a list of features replaced by newer versions? | See Docebo Help’s “Deprecations of features and integrations” article for features and integrations that have been deprecated or are planned for deprecation, along with dates and transition information. |
| Is there a checklist for adding new features to an LMS? | Start with the release notes and the setup guide for each feature, then review permissions, learner visibility, notifications, and reporting before enabling it. Your Customer Success Manager can help prioritize features around your goals. There is not a single release-wide setup checklist for every capability. |
| Are release features enabled automatically, or can admins turn them off? | It depends on the feature. Some features offer an opt-in setting that administrators can control, while others may become generally available without an opt-out. Check the release notes and the feature’s settings for the specific feature rather than assuming one policy applies to every release. |
| Is a redesign of My Activities planned, and when will it be available? What can customers use in the meantime? | A redesign is still in early research and discovery, and no availability date is established. In the meantime, administrators can use available custom-page widgets such as Activity Overview, Courses and Learning Plans, My Profile, My Calendar, and Task List to surface relevant learner information. These widgets provide alternatives for selected information, not a complete replacement for My Activities. |
Skills & Skills Intelligence
| Is Docebo Skills Intelligence a separate subscription? | Yes. Docebo Skills Intelligence, powered by 365Talents, is a separately licensed product with its own SKUs and pricing. It is distinct from Docebo’s native Skills Management capabilities. |
|---|---|
| Are My Skills and Skills Dashboard the same as Skills Intelligence? | No. My Skills and the Skills Dashboard are native Docebo learner skills experiences. Skills Intelligence, powered by 365Talents, is a separate skills-intelligence product that adds a workforce skills and talent-mobility layer. |
| What does Skills Intelligence cost? | Skills Intelligence is a separately licensed product, and pricing is customized to the organization. Docebo does not publish a flat public price for it. Contact your Docebo account team for a quote based on your requirements. |
| Can Skills Management or Skills Intelligence be limited to branches or Extended Enterprise domains? | For native Skills Management, admins can scope skill sets to selected groups or branches. That does not automatically establish support for every Skills Intelligence or Extended Enterprise configuration. Confirm the required domain setup with your account team before planning a deployment. |
Surveys & Evaluations
| Can surveys be assigned to Power Users so they can view survey questions and responses? | Yes. Power Users can receive permissions to manage and report on surveys within their assigned user scope. Their access to respondent identities and responses is limited to respondents in that scope. Survey access is separate from assigning a survey to learners as a course resource. |
|---|---|
| Should customers switch from Learning Evaluations to Surveys? | Not necessarily. The new Surveys and Checklists experience is Docebo’s forward-looking approach to evaluations, but Learning Evaluation remains supported alongside it, with no immediate sunset date. The new Surveys experience is not a one-to-one replacement for every Learning Evaluation workflow, so compare the capabilities you use before deciding whether to transition. |
| Can admins customize notifications for a specific survey or reuse a survey link in another notification? | The survey-assignment notification can be configured in Notification Management, including recipients, priority, and shortcodes. It is triggered by an Observation Checklists schedule and links the learner to the assigned survey. These controls do not provide a separate notification template for each individual survey. |
| Can a survey require answers to total 100% before learners continue? | No. Making questions required does not validate that multiple answers add up to 100%. The new Surveys experience does not provide that total-validation rule. |
| Will existing surveys in Training Materials move automatically to Observation Checklists? | No. Existing surveys in Training Materials are not automatically moved into the new Surveys experience. New Surveys are managed alongside Observation Checklists and can also be assigned as course training material. The existing and new survey experiences remain distinct. |
