My Activities vs. My Transcript

NOTE: I should have added Archiving Courses to the title of this, as it is related.

We recently started to use the Archive Course feature, instead of our home-grown process for retiring courses based on Community best practices. In this effort, we learned that when you archive a course, that course information will no longer appear in a learner’s Transcript page, while it will still appear on their My Activities page. That’s frustrating and surprising; I would love to know the rationale behind that choice if anyone knows it.

In our research, we also noticed that an individual can no longer download their own My Activities page, although a SuperAdmin can use the Personal Summary feature to download it for them. (I’m quite sure that people used to be able to download their own My Activities page as a PDF; does anyone remember that too? does anyone recall when that changed?). 

That leaves me wondering, what other critical differences are there between the My Activities and My Transcript page and what appears on them? Are there any learning items a learner may have been assigned/completed that do not appear on a manager’s My Team page?

It doesn’t mention that the transcript does not include archived course information. I learned that through the Community. 

What else have you learned? How are you using both features?

Wasn’t aware of the data missing from My Transcript page as we typically only use My Activities. But, you’ll also notice if you include archived records into a standard report, it will not display any data sets for that record - Additional Field data, etc. 

There’s definitely some gaps with the feature that we hope they improve on.

Following for answers on this, because we also just started archiving our oldest courses using the new process, and didn’t realize about Transcripts (though I don’t believe any of our learners use it). I don’t remember seeing that mentioned in Docebo’s documentation on archiving in the knowledge base, but now I’m thinking I should read through it again...

One additional consideration: when a course (or enrollment) is archived, any Enrollment Additional Field data tied to it is no longer accessible within the platform. The data is still available through a Snowflake integration (if you have one) but this is another factor to keep in mind before archiving.

I’ve been meaning to submit this as an idea in the community since it feels like a limitation worth addressing

Also following as I did not catch this. After discovering that archiving ILT’s using Docebo Connect causes Outlook cancellations to be sent, we decided to only use for E-learning. Now hearing that learners won’t see archived E-learning courses on their transcript, we may scrap it altogether.

The My Transcript page never included archived enrolments (a gap we identified soon after it was launched and part of the reason we don't use broadly). As for the My activities page, users never had the download option. This fooled me many times since when you open that page as an admin, the option is there. Think I even posted and idea to have this changed but don't recall the outcome.

I would use the archive course option sparingly for now and only when you’re sure you dont need the data anymore, etc.

I think I raised this in another idea or ticket, but when this functionality was released a couple of months ago, we reviewed and advise our Superadmins to NOT use the Archive Tab, otherwise they will lose track of courses containing triggered certifications, I am adding it here Archive Tab | Community

Also, I see the My Transcript and My activities as the below: 

  • Use Transcript data when measuring certification completion, course completion rates, learning plan progress, and compliance.
  • Use Activities data when analyzing learner engagement, platform adoption, content consumption trends, or user behavior. This is not downloadable.

Just a minor addition: while one cannot export their own data from My Activities and a manager cannot download it using My Team, a SuperAdmin can export a PDF of the My Activities tabs for someone else using the Personal Summary option on the User Management page (see Download as PDF in upper right corner):
