Harmony – Custom Knowledge Base

Dear Community,

Harmony has great potential and is already working quite well for us (still waiting for some reports to dive deeper into actual usage 🙂).

I was wondering whether there is a possibility—or a workaround—to build a custom knowledge base for Harmony without making the source material accessible to learners.

Currently, I can upload PDFs, Word, PowerPoint, and Excel files to a course, assign it to users, and make the content accessible via Harmony. However, this also means that the course containing the files is visible to learners.

Some of the files I would like to use as a custom knowledge base are unformatted and not particularly user-friendly (especially from a learner perspective). They are meant purely as background information and not as learning material that should be directly accessible.

Has anyone done something like this before? Is this somehow possible?

Not sure I understand your ask but you can load assets from your channels if you prefer; not just courses. Is that what you're looking for?

We have started using Channels for this but it isn’t hidden from the end users. So we have put quick learning guides in channels and categorized them by our business units. For example, construction, sales, etc. If you don’t want Associates to see the channels unless they search you can kind of lock that by not having channels be selectable on your menu or pages but they would still find the content while searching.

hmm, yes but that can get tricky. Sounds like you need something that more ‘open’ and not linked to courses or channels. Have you considered using an external site like SharePoint and iframing that in? Might not be useable via Companion though but you could conceivably add that link to channel as single asset channel only?

Thanks a lot for your replies — really appreciate it. I’ll take a closer look at the Channels option.

One challenge on our side is that Harmony will always show the source at the end of a reply (which makes sense), but in our case it would also expose the underlying documents that aren’t really formatted or nice to look at for learners. Hope that makes sense.

In the meantime, I also heard back from Docebo — and it seems it’s currently not possible to fully hide content from learners while still making it available to Harmony.

Maybe something for a future improvement. I know it’s quite a specific use case though, so probably not relevant for everyone.
