Hello,

Our training department currently utilizes an Excel-based agenda as formal documentation confirming the completion of an in-person training week conducted by one of our business coaches. This agenda includes a section for both the trainee and the business coach to initial, indicating that each topic was reviewed and covered.

 

I am exploring the use of Observation Checklists as a potential replacement; however, I am encountering challenges in identifying a way to include the trainee in the process so they can both provide feedback and confirm that the topics were addressed. These agendas are frequently referenced if questions or disputes arise regarding whether appropriate training was provided, and I am struggling to find a simple, fully digital solution within the platform that effectively replaces the accountability and acknowledgment provided by the current hand-signed agendas.

 

Any help/ guidance would be greatly appreciated.

Not sure if this would work but have you tried setting the schedule so that the observers include both the trainees and the coaches? You can then add approvers if needed. Pretty sure observers cannot change answers already provide though so that might n to meet your use case. Maybe worth a try though.

Before going too deep into Observation Checklists, I'll share that in organizations I've worked with, trying to force Checklists to act as a two-party agreement usually creates more friction than it solves. Natively, Docebo checklists are designed strictly for one-way evaluation (an observer checking off skills for a user), which is exactly why you are struggling to find a way to include the trainee for their feedback and confirmation.

To give you the best path forward to replace your hand-signed Excel sheets, it would help to know a bit more about how you manage these sessions:

  1. Are these training weeks conducted as 1:1 sessions, or is it one coach to a group of trainees?

  2. How are you currently tracking the training in Docebo? Are you using the ILT (Instructor-Led Training) module, or are these completely offline events that you are just trying to record after the fact?

Depending on your structure, there are a few ways to solve this. If you are using courses, Docebo's native E-Signature app can handle the legal accountability perfectly by requiring a One-Time Password (OTP) from the learner.

Alternatively, if these are frequent 1:1 sessions, navigating the LMS just to get a signature can be clunky. In those cases, we often use external smart forms (sometimes enhanced with AI for dynamic topics) completed on a tablet right when the session ends, which then automatically update the completion record in Docebo via Docebo Connect.
