Users, Groups & Enrollments

Greetings,Situation:User joe@joe.com is in the LMS under the company United Widgets.Another company, Piper’s Parcels, wants to have joe@joe.com access their assets. As you may know, when you try to import joe@joe.com (without updating existing users) it would fail since the email address is already in the system. How do you all get around this? Thanks for your help. I greatly appreciate it.~B

If I archive enrollments in a course for those temp employees that may return the following year, can I re-enroll them into the same course upon rehire, or do I have to create a new course (new title) with the same material to enroll them into?

We have come to find out that the figures shown on the report tab (see below) include deactivated users and there is no way to apply a filter. Does anyone know if there is a way around this? We need a quick way to check the completion % and this looked to be perfect until we realised this.

Hi allQuick question - now that we can remove deactivated users from a group using the tick box in the groups settings, is there a way to apply this setting to all groups without having to go into each one and tick it, save and re-process each group? Please tell me there is an easier way?!?

Is there a Power User Permission that will allow a Power User to enroll one of their assigned Team Members into the same ILT course after they’ve enrolled themselves? For example, Power User enrolled into an ILT course for the week of 3/6/23.  That Power User would like another one of their Team Members to attend the same course, but when they click on the Course, it doesn’t give the option to “purchase” the class again … even on behalf of their assigned team member/user.I’m sure I’m missing something somewhere, but I hope this makes sense.  Thank you for your help!

Hi all,Does anyone know why the time in the User Personal Summary might be 0 seconds even though the user has spent a long time studying in the system?

Hi everyone! How do users in your platform know what training to prioritize during their onboarding? We’re running the issue where our new staff are getting auto-enrolled into a bunch of courses, but they have no idea where to start. I’d love to hear your thoughts on this! We’re a small organization with lots of part-time and relief staff, and there are about 10 or so courses that every new staff member should complete as soon as possible. I’ve been experimenting with:A custom page, that has widgets/links to these courses. Enrollment attributes, where courses that need to be prioritized are marked as “Mandatory”. A learning plan, where courses that need to be prioritized are added to a learning plan.I’m not sure the best, most user-friendly route forward. How do you handle things in your organization?

Hi~ So I have an e-learning course that I want users to be able to see in a catalog but cannot enroll themselves. To enroll, they need to contact their manager or an admin to enroll them. How can I set this up so that managers can also enroll them?  I have this setting on because I want them to see the course is there but they need a manager or admin to enroll them: Only administrators can enroll learners. Users can see the course but they can be enrolled to this course by Admins only. This setting of course only allows admins to enroll them in the course and as a manager, if they try to enroll their staff, they also have a lock on the course that says contact the admin. So how can I allow their manager to also enroll them in this course? Thank you.

My Power Users who are Consent Creators, cannot view their content and or materials they create. They are unable to view “learners view” please help, thank you!

When you deactivate users, do you unenroll / remove them from:- Branches- Groups- Learning Plans ?Our automation enrolls users in courses based on the user's branch / group / learning plan.We don't want the automation to enroll deactivated users and are trying to figure out how this can be avoided.Thank you!

WE are still having an issue with SalesFORCE and Branches with users being moved into the root folder if the branches do not sync.  This has become such a manual process, that seems to be never-ending since we have over 600 users and we have many reorgs, therefore, users are constantly moving, or new hires joining.  Does everyone that has SalesFORCE and the stand-alone app have this same issue??  When you create a users on the stand-alone app and put them in a certain branch, then the CRM teams gives that user SalesFORCE access a week or so later, and they go into Docebo through SF - they end up moving the user out of the branch I created and instead back to the Root folder? We have 2 diff teams that work on this - the CRM team who runs SalesFORCE and our LMS team.  Therefore, this has become such a process (bc we have about 900 users and counting) that are constantly being moved or updated if we are not quick enough to provide the CRM the exact branch name we created. We also have to r

What is the best way to handle archiving enrollments for users enrolled in a compliance learning plan that needs to be taken annually? The bulk archiving option is great when users aren’t enrolled in a learning plan but we’re finding out it doesn’t work the same to archive and unenroll vs archive and re-enroll (we’ve made some changes to LP structure for 2024). Any tips on how best to navigate this would be most helpful.

HelloI have a deactivated user and a new employee with the same name and therefore username (org email address).  The HR system has not automatically created this user in the LMS so I am thinking a manual creation is required but the user has the same email address as the deactivated user. Advice please?

How do I allow multiple PowerUsers the ability to share/manage/have visibility of a Learning Plan?

I want to remove groups of users from Learning plans. When assigning them to the learning plan we could assign them by groups/branches, but when we want to unassign them its seems it can only be done on an individual basis.thanks in advanceStephen

Greetings! We have recently run into the issue: User is in the LMS in under branch A. When we try to import this email address (as username and email address) into the LMS as a Power User it errors out because they are already in the system. We’d like to make it so the user can access the assets in both branches (one is for an extended enterprise if that matters). Thanks for any help. ~B

HI,I have a question regarding setting enrollment validity periods.I am wnating to enroll people into certain courses, and as a way to force them to take the courses on time, I wanted to add a validity period. My question is, what happens once this period expires?Do they simply no longer have free access and now have to pay to take the course (my preferred option) Do they simply not see that course anymore? If they have completed the course, what happens once the validity period ends - do they still have access to it?Basically, I just need a bit more info about waht I am actually about to action here, and what the ramifications are.Thank you

Has anyone found a way to see where groups are used? (e.g., which enrollment rules, etc.)This is essential to both cleanup and problem-solving, and I can’t figure out how.

If we enable Enrollment attributes, is Mandatory / Optional applied to users already enrolled? We don't have a sandbox site and are concerned that enabling this feature could cause problems for existing users.Thank you!

What is the difference between Required and Mandatory for the enrollment rules?

As the title suggests, I’m wondering if there’s a way to automatically update the list of assigned resources for Power Users (PU)?I created a profile that grants certain PUs access to the insights tab, and I have to manually assign resources  (users, groups, courses, and learning plans) to each of those PUs in order for them to be able to use insights as intended. These PUs need view access to all users, groups, courses, and learning plans. My concern is that when new users, groups, courses, and learning plans are created that I’ll have to go back and manually update each PU’s assigned resources to reflect those changes. Is there a way to automate this? Or have the assigned resources update automatically when new items are created? Please let me know if you have any insights into this question! Thanks, Eric

What triggers the "User was declined from an ILT session" notification? How does the User was declined from an ILT session trigger differ from the User has unenrolled from ILT session?

We need to do a mass student US Mailing to students residential addresses that may have changed since registration.  We want to request that students check their street address and update it if necessary prior to the mailing.   I see a few ideals out there on similar topics and I have upvoted them but am wondering if there is current updates on this particular use case?

Here’s the setup:I have a learning plan with a single course in it.There are no days of validity settings in the learning plan. There are no days of validity settings in the course.I have an enrollment rule mapped to the learning plan and enrollment days of validity in the enrollment rule. If I enroll a user (chrometester) through the enrollment rule, for that user, at the course level, it attaches start and end days of validity. It also has start and end days of validity at the learning plan level. If I enroll a user (firefoxtester) manually into the learning plan and select enrollment days of validity through that screenflow there is no course level enrollment day of validity set. There is only learning plan level days of validity. Here is a screenshot of the end result at the course level. So, my question is. Why do I get different results? Shouldn’t the enrollment rule mimic the manual process? I have asked support to take a look, but I don’t have an answer yet. I honestly prefer the

Hi. I’m fairly new to Docebo and am looking for help. Is there a way to assign resources to a profile instead of an individual user. For example, let’s say I have profiles by country and want The US trainers to access different courses that the Mexican trainers, etc. As far as I can tell, If I create a new poweruser ID, I need to assign the resources individually, rather that assign the profile which would include the needed courses. I hope this makes sense! Thanks for your help.
