Session specific registration questions managed by Power Users

Hi all,

We’re looking for a way for Power Users organizing a specific session to collect additional information during registration, for example dietary requirements or whether a participant has completed a prerequisite course.

Ideally, the Power User could either create questions for that session or select from predefined questions created by an administrator.

The important part is that these questions should be session-specific, rather than applied to the entire course (template), as requirements can vary between sessions. We would also like to avoid collecting this information separately by email.

We haven’t found a way to configure this at session level. How are others handling this? Are there any workarounds or alternative approaches you would recommend?

If the functionality isn’t currently available, we may turn this into a Docebo feature request/use case.

As far as I can see, Docebo does not currently provide a native way to define learner registration questions specifically for one ILT/VILT session.

The similarly named session additional fields are used to describe the session itself, and their values are shown to learners on the session page. They do not collect a separate response from each enrolled learner. The closest native option is enrollment additional fields, which can collect learner-specific information during enrollment and can be made visible and/or mandatory. However, those fields are configured for all courses or for a course category, rather than for one individual session.

For questions that vary by session, a common route would be a session-specific survey or external form linked from the session or an automated notification. If the questions are common across a group of sessions, enrollment additional fields may be sufficient.

This would also make a strong feature request: session-scoped enrollment questions, with an administrator-managed question library and the ability for a Power User to select the relevant questions when creating or editing a session. The responses would ideally be stored against the learner’s enrollment in that session.
