Archive and Re-Enrollment - Annual Course Renewals

Next week, I am launching annual compliance training.  The Sexual Harassment Prevention course is being reused from last year.  Using myself as a test subject, I archived and re-enrolled myself into the course.  I then marked it as complete (was also testing the certification template).  Now, I’m not seeing last year’s completion details in my transcript.  Where can I see that I completed this training last year? - If the point of archiving is to have a historical record, where do I go to retrieve those records and view last year’s completion certificate?

I found where the course is archived at the individual level (User Personal Summary → Courses → Choose Archived Enrollments from the dropdown on the right side), but how would I pull a report for the historical data for all employees?

Good news, you don't need to manually check individual user profiles or set up any complex API calls to pull this historical data. You can easily retrieve archived enrollment data for all employees using Docebo’s native Custom Reports feature.

Here is how you can set it up:

  1. Navigate to Reports and create a new Users - Courses custom report.

  2. Go to the Filters tab and scroll down to the Enrollment filters section.

  3. Look for the Enrollment types filter and change it to either Archived enrollments or Active and archived enrollments.

  4. To make the report easier to read, head over to the View options tab. I highly recommend adding the Identifies whether the course is archived (Yes/No) field and the Archive date field. This lets you easily sort and separate last year's completions from this year's active records in your export.

In organizations I've worked with that handle annual compliance retraining, the pattern that holds up best is setting up a scheduled version of this "Active and Archived" custom report. This ensures leadership and auditors always have an automated, single-source-of-truth export showing both current compliance status and historical completion data without manual intervention.

One quick caveat to watch out for: the data relating to archived enrollments is "frozen" at the exact time of the archive. Because of this, custom reports on archived enrollments only show the data captured at that moment, meaning if you changed a course title or user property later, it won't reflect on the archived record, and certain fields might not be populated.
