Separate initial ILT training from quiz-only renewal

Hi everyone,

I’ve been reading through other posts and realized that our use case is related to the discussions about “renewing certifications with different courses or learning plans”, but we focus more on ILTs in the certification programs. 

Current setup
We use learning plans containing two mandatory courses:

  • An ILT for the initial, first-time training.
  • An e-learning course with a quiz, which is unlocked once the initial ILT is complete.
  • The certification is linked to the quiz course only. Learners must renew the certification every two years by passing the quiz. They should not attend the initial ILT again during renewal.

For us it is also important that the ILT is not presented as an optional renewal course. Because learners often click the ILT accidentally when trying to renew, which:

  • Creates confusion because they have already completed the 2–3-hour initial training before,
  • Cause the original ILT enrollment and completion history to be archived or reset
  • Results in additional help-desk tickets for us to fix the archived enrollment issues
  • Cause data integrity issues if learner never contacts us to fix the archived ILT enrollment issue

Behavior in the Certification beta: When the certification is linked to the full learning plan, learners who renew certifications are re-enrolled in both courses, including the ILT.

We tested a possible workaround using two enrollment rules:

  • Enrollment rule (1) to enroll new employees in the initial ILT.
  • Enrollment rule (2) to enroll learners who complete the ILT to the certification program consisting only the eLearning with quiz

This appears to separate the initial ILT from the renewal process. However, it creates another issue: we cannot configure an enrollment validity period for the ILT.

Currently, learners are expected to complete the learning plan within 180 days. This deadline is important because learners receive due-soon and overdue reminders, managers see whether their team members are overdue. Helping learners to stay on-top of their assignments.

Without a deadline and notification mechanism for the ILT, learners may not complete the required initial training and may never reach the quiz.

Then this becomes an invalid workaround for us because these are mandatory certifications in our medical technology environment, where learners must be enrolled in the required courses, must be informed of deadlines. We cannot rely only on that learners will some day complete the initial ILT and reach to the quiz. 

Anyone else having a similar use case? What is your best practice to overcome this issue?


Additional general questions from my side:

  • Can the initial certification path and renewal path be configured as two completely separate paths?
  • Can the original ILT enrollment, attendance, and completion history remain untouched when a learner renews certification?
  • If separate enrollment rules are the recommended approach, how can we configure a completion deadline and due-soon/overdue notifications for the initial ILT?

Thank you for taking the time to test the new Certification and Retraining model and exploring its setup using Enrollment Rules. Here are details regarding your questions:

  1. Separate Certification and Renewal Paths: Currently, renewals require completing the same set of courses as the initial certification path. However, based on feedback from you and other customers, allowing a separate renewal path with different courses is actively being explored as a potential enhancement.

  2. Preserving Initial ILT Enrollment & Completion History: Under the current model, initiating a renewal archives the previous certification and course enrollments and triggers a new enrollment record. All new completions count toward this new record, leaving the prior record archived.
