Power User access to courses and learning plans will require an active assignment

Come on….

I just got the notification above that we are being pushed to have powerusers have an active assignment in “the things” that they have report on. I am assuming the assignment is on the PowerUser level and not an active enrollment in the course/learning plan/certification.

Calling this out? This can feel like a pretty serious disconnect.

What do you think? Am I overstating this one?
For example - you may have generated a PowerUser as a Reporting Tools. That may now need to be spec’ed out differently. Those with mega setups (thousands of PowerUsers) will now potentially need to further provision.

YES! exactly What does this mean?  very cryptic statement and we have over 165 PU’s.   Details Docebo, Details!

Would also be helpful to have export functionality on the power users to report out on what profiles, permissions, users, courses, etc. are assigned to each power user.  Especially if they will no longer have access to something they should or conversely.

Agreed - this feels like a huge change especially with the ask for us to review our assignments within a month, without an easy way to pull reporting on those assignments!

I have submitted idea requests and Tech requests for 4 yrs on exporting/managing PU profile data more efficiently!  It is extremely difficult to manage. Every PU must have different content & visibility (GDPR + Instructor alignments)  It is an arduous task keeping hundreds of profiles accurate.  I Absolutely despise the PU process.

has the same thought...are we just talking about making sure the PU resources tab is properly lined up to the assets they manage?

I am too asking questions, we have 7K Power Users, and 17K courses, most power users can assign any course or learning plan to anyone to whom they have been assigned as a resource.

So do now all 7K Power Users need to be enrolled in 17K active courses and 1K Learning Plans.  I just met with my CSM and my Account Rep and raised these concerns.

I’m not sure whether to be alarmed because the email was very unclear what was changing and what needs to be done. Hoping Docebo can share more details soon.

@dklinger

  1. I sure hope that isn’t like instructors and they have to be enrolled. That would make granting  PUs course permissions moot IMHO.
  2. f it’s not at the enrollment level and it’s at PU resource assignment level….I can’t tell either, but can ‘assigned’ be at the category level? If it can, is the overall Docebo category an option?
  3. Now I need to go check my spam filters because I got no such notification…..

We are also confused by the email, especially since there is no link for more information.

Does the “This includes course and learning plans the Power User created” mean that this change only impacts those?

What do they mean by “assignment?” The resourced catalogs or an assignment that’s part of a course?

Does mean that the PU resourcing of “all courses and learning plans in visible catalogs” no longer what determines what PUs can see/access?

How do they expect us to “review PU assignments” when there is no reporting functionality around PU permissions and resourcing? Manually click through each and every power user? That’s not remotely realistic.

It’s pretty irresponsible to send out an email such as this that is so poorly written and unclear and to not include link to any resources. We’re expected to reach out to our rep or support? I’d guess it’s unrealistic that they’d be able to help all of us individually. Especially - if the reps and support would have answers, why not just publish the details?

Can someone with Docebo please weigh in?

Hi, Apologies for the confusion. Here is the exact change that is occurring.

An “active assignment” means a resource has been assigned to the Power User for access, not that the PU is enrolled as a learner. Starting November 16, PUs need that access for the courses, learning plans, and certifications they’re expected to manage or report on, including resources they created. Existing PU permissions still determine what actions they can take, and learner access is unchanged. A PU-created course is assigned to its creator automatically, but creator status won’t preserve access if that assignment is later removed. The active-assignment rule applies to learning plans and certifications too.

You don’t need to assign each course individually if you already use category-level assignment. Assigning a category continues to cover courses in it, including courses added later, as long as the PU has the relevant permissions. A wildcard assignment doesn’t make a course outside the catalog accessible; the course needs to be in a catalog visible to that PU.

Hope that helps!

Regards,
Abdullah

By “Assigned” do you mean “Resourced”? If a PU is resourced “all courses and lps that are visible” to the person, then nothing changes, does it?

@ariel.zimmerman Yes, “assigned” here means “resourced.” If by “all courses and LPs that are visible” you mean the All courses and learning plans in visible catalogs option, access is unchanged for resources actually covered by that assignment. That option covers content in catalogs visible to the PU in learner view. A resource the PU can currently see only because they created it may still fall outside the assignment. For courses, an item outside a visible catalog loses creator-based access unless a Superadmin adds it to a visible catalog or assigns it directly. So it’s no change for resources already in scope, but not necessarily no change for every resource the PU can see today.

Thanks for clarifying Abdullah. I don’t really understand how this was different from before. I felt that we always needed to have the correct resources assigned along with the desired profiles (i.e. permissions) to interact with those resources. Was it just that some of the permissions did not require accurate assignments (maybe reports), and that now every PU account, regardless of their permissions, will require accurate assignments?

Thanks,

Liam

Hi @Liam Daugherty That’s a fair question. A Power User generally needs both the right permission and an assignment to the resource. The exception today is that they can keep access to a course or learning plan they created, even after it’s unassigned. This feature removes that exception: once it’s unassigned, they lose access, including the related management and reporting capabilities. It doesn’t mean every resource needs to be assigned to every Power User.

The use case we are trying to fix: When a PU creates a course, it will be assigned to them as it is now. The only change is when an SA unassigns that course from the PU. Previously, the PU didn’t lose access, but with this change, they will.

Hope this helps!

Thanks for this clarification.

Lost in the details: what does “wildcard” mean?

Here, “wildcard” just means an “all” assignment. Instead of choosing courses or learning plans one by one, you assign the Power User all resources of that type, including ones added later. A custom selection means choosing only specific items. So an example is : All courses and learning plans in visible catalogs

Thank you, that’s very helpful. Please remember that not everyone is familiar with the same jargon, so plain writing is always appreciated.

Thank you @Abdullah Mohammad ! Very clear now. Have a great day.

We will definitely make sure to improve that for next time.
