Product Tips & Tricks

Hi all, we’re exploring using the external training app to track conference attendance in our organization. Does anyone do the same or similar and have best practices to share?

Hi everyone 👋I’d love to learn how others are managing last-minute learner cancellations for instructor-led workshops in Docebo. We’re currently facing a challenge where learners often unenroll very close to the session start date. This creates additional costs and operational overhead for our team, and it’s also extremely difficult to track consistently, which makes it harder to manage the issue and improve the process over time.I’d be really interested to hear: Do you have a cancellation policy in place for ILT sessions? How are you enforcing this policy within Docebo? Are you using any specific settings, automations, reports, or workflows to track late cancellations or no-shows? Have you found any approaches that successfully reduce last-minute unenrollments? Any examples, lessons learned, or Docebo configurations you’re willing to share would be greatly appreciated. Thanks in advance!

Hey everyone, looking to have an admin receive an email notification once a specific course is completed. only way I could find was to mark them as a course instructor and message them once completed. We have a few admin’s and don't want the email go out to each of them. Any ideas how to set this up?

Hi all,I’m looking for workarounds or best practices for sending surveys after a learner completes a VILT session.Goal:A learner enrolls in a VILT → completes the session → is then directed within the course to complete a survey. The survey should only become available after the session is marked complete.I’m hoping to keep this workflow within a single course rather than creating a learning plan, since this is just one VILT.Has anyone found a good setup for this? Any tips or configurations that have worked well for you? Thanks! Addendum: Support has confirmed that ILT courses cannot unlock training materials individually per learner upon their session completion.

Hi all, I’m trying to use the in-platform Newsletter feature and I’m running into a few issues. The most pressing one is my text seems to be getting cut off mid-way through. I don’t see any word or character limits mentioned in the Newsletter Knowledge Base articles, and I’m struggling to figure out why this is happening. In the past, I’ve sent newsletters out with an approx word count of 300. The current one that is failing is approx 600 words. Has anyone encountered this issue before? What’s the longest newsletter you’ve sent out?

Curious if anyone knows a way to determine where in the platform a group (or Branch for that matter) is used? We heavily use groups with menus, catalogs, reports and channels but when we try to clean up our groups, it can be almost impossible to figure out where the group is being used to know if it’s ok to delete (without manually going through each of the places above to determine). Not expecting there to be a solution for this, but thought I would pick the collective Docebo support community brains! Thanks!

We have some of our assessments set so that the test-taker sees their final score and also a breakdown of their performance by question category. This lets the test-taker know which areas they are stronger in and which areas they may need more study. This breakdown appears to only be visible to the test-taker themselves but the manager would like to be able to see this data. We can’t find a way to make this data show up on reports, does anyone know how we can get this to be visible to managers/power users?

Hi - with some of the new touches done with the Task Widget - we have done some subtle things with the localization tool to put it into a better context for us. One of the things that have came along that needed a better naming convention for us was the term Expiration:{date}IMHO depending on the industry, this may be a good thing or a bad thing (in many cases you probably dont want an auditor seeing something like this when you “impersonate” or login as someone). I wasnt happy with the term Expiration because it doesnt connect with all scenarios, but the word Due is in a much better context. So I went out and found the text in the localization tool and addressed it:I figure post this small change as it can only help someone else running into something else similar. We have also renamed our tabs to help them make sense for us. And that is another one addressed with the Localization tool (linked for those that are curious).Adjusting Names Of Lists

Hi, I am creating a test in the central repository and one of the questions has a technical image with code that the student will have to review to answer the question. When you look at the question, the code is hard to read, even if I increase the image size. I know you can do CTRL + to manually increase the size but is there a way to make the screen size bigger so they dont have to do this? Is there a setting that I can use to make this image easier for them to view?

Hi everyone,We’re in the process of enabling the AI Auto-Tagging feature in Docebo and I’d love to hear how others are approaching this.Since the tool isn’t retrospective (so previously uploaded content won’t be auto-tagged unless updated), I’m curious:Has anyone found a way to bulk update or mass auto-tag existing content, or is this something you’ve had to manage manually? Are you implementing any processes or strategies to ensure your content library stays up to date with tags going forward?Any tips, lessons learned, or advice would be much appreciated!

Hi everyone,We are currently looking for good use cases for mobile push notifications via the Go.Learn app.We have found out that these only work when learners are logged into the app. This raises the question:in which situations are mobile push notifications a good option? 🤔Inspiration needed!⚡

How are you managing surveys in the Central Repository? Could you share your best practices and lessons learned here?

Is there a best way to make an email notification go out to a power user a week or two after original enrollment? We have a system where a small group of users is initially enrolled on our platform to take required initial training focusing on using dealer software. One or two initial users are made the power user for their branch and after their initial training they likely don’t need to take further training. However most of the courses on the platform are aimed at technicians. I would like a notification to go out after a couple of weeks prompting them to register the other users from their dealership that would benefit from training on the platform for technicians. I can’t figure out which notification to use and how to set it up so that would happen. Can anyone share what works for them? Thanks, all.

Hi Community,I searched the forum but couldn’t find an answer to my question:I’m currently building a dashboard and would like to use the “Embed Video” widget. Since we have the video available in 21 languages, I’d like to display the localized version based on the learner’s language. I noticed that I can translate the title, but I don’t see an option to add individual URLs for each language. Is there a way or a workaround to achieve this? Or should I submit a feature request?Thank you.Best,Dominik

We post a weekly leadership training for learners and we have a widget on their home page to highlight these.  We’d like to feature the newest one first.  The card view you can sort newest to oldest, but it takes up a huge amount of screen real estate.  The stream view is better but only sorts A-Z.  Has anyone edited, maybe through CSS, the default sort of the stream or found a way to limit the number of cards?

Hi, I need to check my certificate assignments for all courses. Is there a way to export all assigned certificates by course?  Thanks!

I’ve searched and most of the information is 2-3 years old.Is there a way to download content from the Central Repository that doesn’t involve using API? We don’t have the original files that were uploaded. Thanks!

Hi everyone,We’re currently reviewing our course catalog and trying to identify older courses that might be ready to sunset and we’d like to get an idea of whether there’s still any learner activity in those older courses, and a picture of what the usage curve for courses looks like over time. I’m looking for advice or best practices on how to track and report on course activity or engagement over time in Docebo. Specifically: Is there a built-in report or dashboard that shows when a course was last accessed or last completed? Can I easily pull usage trends (e.g., number of enrollments or completions per month) to see if engagement is declining? Are there any custom reports or automation ideas you’ve used to help flag courses that may be inactive or obsolete? Any tips, report configurations, or examples of how you’ve handled course lifecycle management in Docebo would be greatly appreciated!

We have a power user profile set up as ‘Subject Matter Experts’ for a variety of courses that have assignment submissions. Even though a notification is set up for a specific course (intended to go to a specific SME power user), the assignment submission notification is sent to all SME power users, even the ones not assigned to that particular course. Is this because all SME power users have access to the same user groups? Does anyone know of a way to get notifications to go power users assigned specifically to a course?

Hey all! Its that time of year again! for anyone new here for this timeframe, Daylight Savings time is not applied automatically to the Automation App. So, if any agent gets tickets about Automation Rule not triggering at the correct time, the SA or agent can access the rule and resave it entirely and then it will apply the Daylight Savings time to the rule.

Hey guys - looking to review and manage our users more effectively. I’d like to be able to add a title or group identifier in their user profile grid. Is that possible? Thanks!

Hi! I have a coworker who is responsible for a Buddy Program for new hires and also for a Mentor Program for staff looking to network or develop their skills. She was using a separate program, but she was not happy with it, so we want to explore what we can do to support her with Docebo. We currently do not have Docebo Connect or Docebo Coach and Share (someday, hopefully!), so we’re looking for tools we can implement with the platform as is.Her program is a hybrid of Zoom meetings and assignments. She’d like for the mentor and mentee to be able to record notes that the other person would respond to, and she would like them to be recorded in the system so that they can be referenced later. We have a number of tools at our disposal, so I feel like this has to be possible using what we have, but I’m not seeing the big picture just yet. We have the following:Articulate 360 Smartsheet Slido Google FormsWe are piloting Microsoft 365 and Teams, but we are about a year away from implementing i

Docebo Using Browser on MobileIdeally, we want the interface to fully show the course for our users when using their phones to view courses. They can see the course title, the buttons embedded within Docebo, the entire slide, as well as the player buttons of the course. At times the top is cut off and the player buttons for the course are then pushed to the side. Other times, the view shows the tabs and essentially cuts off the bottom part of the course. In order to see the entire course with its player buttons and the Docebo interface, I had to go into my phone and “Hide Toolbar.” This may be too much to ask of our users without causing confusion. Once I hid the toolbar, the course displays correctly. I tried to upload screen shots but I wasn’t able to create the ticket.  If anyone has any thoughts I can more fully share.

Looking for a good way to select all users in a group and add them as a power users without having to use CSVs or API.  Seems like something that should be easy and I’m not seeing it.

I am trying to embed an external AI coach into the platform - through an HTML widget link. When I add the link it removes the microphone access and therefore the AI coach does not work. Is there any way around this?
